The Sales Coordinator role is a pivotal position within the Pacific Northwest (PNW) sales team, offering comprehensive support to sales managers and internal departments. This role acts as a key point of contact between sales personnel, customers, and staff, ensuring smooth communication and efficient handling of inquiries and requests. The Sales Coordinator’s responsibilities span a range of administrative, operational, and client-facing tasks. From managing shared inboxes and responding promptly to sales inquiries to booking accommodations, tours, and transportation, the position demands high levels of attention to detail and excellent interpersonal skills.
Beyond daily sales support, the role involves coordinating and facilitating sales contracts across various segments including travel trade, regional sales, weddings, and affiliates. The coordinator works closely with the Revenue Management team to align client requests, trade blocks, and sales reporting, ensuring revenue accuracy and satisfaction across all platforms. The role also requires close collaboration with marketing teams for promotional collateral and client gift programs. Event planning, onsite support, and participation in familiarization tours and client receptions are additional facets of this varied position.

Job Qualifications
- Bachelor’s degree in tourism/business or equivalent in work experience preferred
- Possess tourism related business experience but consumer products experience is acceptable

- Ability to manage multiple projects and tasks through to completion on a timely basis
- Strong administration and organization skills with a team approach on all projects

Job Duties
- Respond quickly and efficiently to all in-coming sales inquiries, customer requests and follow up
- Manage shared inboxes, answering and disseminating emails and communications
- Field calls using telephones and computerized guest registration system to book rooms, tours/transportation, activities and other travel itinerary needs for PNW properties
- Continuously work to enhance the client experience by identifying opportunities for improvement in service, satisfaction levels and product offerings
- Sell our properties and products to clients that do not fall under a Sales Manager
- upselling when available
- Coordinate and facilitate all sales contracts (travel trade, regional, weddings and affiliates)
- Work closely with RevMax team to coordinate trade block, client requests and client sales reports
- Responsible for administrative duties and sales support, reporting or other documentation for the sales team as requested
- Provide administrative support across assigned Pursuit geographies (as needed) through effective communication with Sales Managers and internal teams
- Coordinate with marketing teams, both local and B2B, to create and order collateral and SWAG
- Lead holiday gift acquisition and shipping as well as annual client appreciation gifts and events
- Liaise with internal Pursuit departments (Reservations, Operations, Accounting etc.) as required to solve client challenges and issues
- Meet and greet travel trade and regional groups as required – traveling to our locations may be required
- Organize and assist with fulfilling all familiarization tours, receptions, site inspections, and other events for travel trade and regional
- in-person participation may be required
- Assist with onsite support, event management, operations & day of event execution as needed
- Maintain the Pursuit CRM system (Delphi.fdc and Salesforce) for the PNW Sales Team
- Responsible for reconciling and balancing systems by entering actuals on a monthly, quarterly, and annual basis to ensure revenue alignment across all platforms for regional and travel trade segments
- Assist and support other coordinators with the goal of creating a cohesive team environment
- Support the sales operations team with any projects and or tasks that require additional support
