The Sales Coordinator, Events (Catering) position at Montage International offers an exciting opportunity to join an energized team within the luxury hospitality sector. As a Sales Coordinator, the individual will act as a vital business partner responsible for supporting the company’s goals, objectives, vision, mission, and values through effective administrative assistance. The duties include managing correspondences, preparing banquet event orders (BEOs), coordinating schedules, supporting time management on event execution projects, managing vendor relations, and facilitating communication between multiple operational teams including Banquets, Culinary, and Rooms. The role also requires proactive support through coordinating site inspections, menu tastings, pre-consults, and all necessary preparations that ensure flawless event delivery. The Sales Coordinator shares responsibility for maintaining accurate files and records for each group event and assists clients with professional, prompt, and solution-oriented service, especially in the absence of a Meetings & Events Manager. Job Requirements

  • Bachelor’s degree preferred
  • minimum two years’ administrative experience in hospitality
  • proficiency with Microsoft Office
  • knowledge of Salesforce (Delphi) and Opera Cloud preferred
  • strong multitasking and time management capabilities
  • excellent verbal and written communication skills
  • ability to manage billing accurately
  • capacity to work under minimal supervision
  • ability to handle guest complaints independently
  • physical ability to perform office tasks including lifting up to 15 lbs
  • legal eligibility to work in the United States

Job Qualifications

Job Duties

  • Provide general administrative support
  • perform duties of other team coordinators when required
  • support time management on execution of projects
  • prepare written correspondence including reports, banquet event orders, group resumes, and schedule of events
  • run and distribute daily, weekly, and monthly reports
  • coordinate site inspections, menu tastings, pre-consultations, and internal communication with operational departments
  • assist with creating purchase orders and vendor management
  • manage event files including contract copies and turnover checklists
  • create and assist with all in-house event requests and banquet event orders
  • communicate effectively with banquets, culinary, rooms, and other operational teams to relay client needs and special requests
  • assist clients in the absence of a meetings and events manager
  • oversee office stationery levels and ordering
