Job Requirements
- High school diploma or GED required
- Two years of experience in event or project coordination and a minimum of one year of related administrative experience
- Destination marketing, resort industry, or special events coordination experience preferred
- Ability to primarily work in the sales office or remotely as assigned
- Ability to work collaboratively with team and other departments
- Ability to learn, retain, and follow specific operational guidelines, rules, and policies
- Thorough attention to detail in composing and proofing materials and data entry
- Exceptional time management, organization, and prioritization to meet deadlines
- Above average written and verbal communications skills to effectively present information and respond to questions from diverse groups
- Demonstrated commitment to valuing differences among individuals and a passion for being inclusive
- Advanced knowledge of office equipment and Microsoft Office products, i.e., Word, Excel, PowerPoint, Outlook
- May be required to work outside regular working hours

Job Duties
- Plan, organize, and execute departmental projects and events, including site inspections, sales missions, familiarization trips, client development events, and senior-level meetings
- Coordinate cross-departmental efforts, manage timelines, and oversee logistics to ensure each event runs seamlessly
- Collaborate with departmental leadership to align project objectives with goals
- Deliver prompt, high-quality service to internal and external customers, providing accurate and timely information that enhances departmental responsiveness
- Partner with the Sales team to manage client data, track promotional inventory, and process client redemption requests
- Develop and implement efficient work processes that comply with LVCVA policies and supervisor guidance
- Create, proof, and distribute professional correspondence, contracts, and internal communications
- Administer departmental budgets, processing invoices, expense reports, and payments with accuracy and efficiency
- Manage office logistics, including mail, deliveries, promotional item orders, and office supply inventories
- Schedule travel arrangements and client meetings for department leadership and team members
- Research, compile, and present monthly and quarterly reports to track performance, monitor goals, and highlight outcomes and key trends
