Driftwood Hospitality Management is currently seeking a Sales & Events Coordinator to join their team at the dual-brand campus comprising the San Diego Marriott Mission Valley and Element by Marriott Mission Valley. This role is a pivotal administrative and operational support position within the Sales and Events departments across both brands. Reporting directly to the Director of Sales & Marketing, the Sales & Events Coordinator will play a critical role in facilitating the smooth daily execution of departmental objectives while upholding company standards and policies.

The Sales & Events Coordinator acts as a primary communication link between clients, sales and events teams, and hotel operations. This role is suited for a proactive and highly organized individual who thrives in a fast-paced, deadline-driven environment. In addition to managing inquiries and communication flow, the coordinator ensures accurate reporting and operational support to enhance event coordination and sales efforts. Responsibilities include handling inbound sales and catering calls, building quotes via sophisticated sales systems such as CI/TY (Delphi.fdc), and distributing important daily reports related to arrivals, occupancy, group activity, and event space usage.

Key duties also involve managing group bookings, preparing contracts and proposals, creating event space diagrams, and supporting marketing initiatives with creative projects. The Sales & Events Coordinator is responsible for maintaining detailed lead logs and coordinating with multiple departments to ensure flawless event service delivery. The position involves working with advanced technology platforms, including Lanyon/MarrFP RFP channels, Cvent event diagramming, BirchStreet procurement, and STR/Hoteligence 360 comp-set reporting. Proficiency in these tools is essential to successfully track sales activity, bookings, group deposits, and lead generation.

This full-time position requires individuals who demonstrate strong interpersonal skills, excellent attention to detail, and the ability to multitask under pressure across a dual-property environment. The Sales & Events Coordinator must possess the judgment and creativity to resolve challenges proactively while communicating clearly and diplomatically with internal and external stakeholders. Physical demands include extended periods of desk work and occasional lifting of up to 15 pounds. The pay range for this position is $22.00 to $24.00 per hour, accompanied by comprehensive benefits including health insurance, paid time off, 401(k), disability insurance, and hotel-related discounts.

Job Requirements

Job Qualifications

Job Duties

  • Answer inbound sales and catering calls for both Marriott and Element
  • build inquiries and create quotes in CI/TY (Delphi.fdc)
  • route catering and banquet inquiries to the appropriate Event Manager
  • receive daily show-room availability from Housekeeping and distribute to sales and events teams
  • compile and distribute daily reports including Sunrise daily report and Daily Events report
  • run and send Group Rooms Control (GRC) report daily
  • monitor incoming sales mailboxes and route correspondence
  • deploy and route incoming leads through CI/TY, Delphi.fdc, Cvent and SDTA
  • maintain the Lead Log recording source, segment, status, and follow-up
  • act as primary client contact in absence of Sales or Catering Managers
  • assist managers with contract preparation and tracking
  • create group resume cover sheets and distribute to relevant teams
  • compile and distribute weekly Sales Activity Report
  • research and run comp-set reports and deliver to Sales Team
  • run and assemble Banquet Event Orders and function packets
  • maintain client communication including welcome emails and thank-you letters
  • partner with Sales, Catering, and Accounting to manage group deposits
  • prepare site alerts and inspect meeting spaces
  • produce event-space diagrams using Cvent Event Diagramming
  • order office supplies and monitor sales collateral inventory
  • create purchase orders and close invoices in BirchStreet
  • issue Marriott Bonvoy points and track issuance
  • assist in creative projects and maintain filing system
  • assist with group reservations and urgent inquiries when needed
  • coordinate with hotel departments for time-sensitive requests
  • support Front Office and General Manager with reservation requests
  • exercise sound judgment to direct requests appropriately
