The Sales Coordinator position at Destination El Paso, operated under Legends Global, plays a pivotal role in supporting the sales team by providing essential administrative and operational assistance. This role is integral to maintaining the seamless flow of sales operations, supporting the department’s goals to maximize venue utilization and revenue. The Sales Coordinator is responsible for organizing and maintaining accurate sales records within CRM systems such as IDSS and Momentus, assisting with the preparation of sales proposals and reports, coordinating sales meetings, and managing client communications. By facilitating effective communication between clients, vendors, and internal departments such as Event Services and Marketing, the Sales Coordinator ensures that sales efforts align with business objectives and customer expectations.

The Sales Coordinator supports a range of activities including scheduling, travel logistics, event file management, and participation in events such as trade shows and site visits. Job Requirements

  • Bachelor's degree in business, hospitality, marketing, or related field preferred
  • one year of industry-related administrative or sales support experience strongly preferred
  • valid driver's license required
  • must be available to work flexible hours including occasional evenings, weekends, and holidays based on business needs
  • frequent use of computers and telephone
  • may occasionally lift and/or move up to 25 lbs
  • standing or walking for extended periods during site visits or special events may be required
  • bilingual (English/Spanish) preferred but not required

Job Qualifications

  • Bachelor's degree in business, hospitality, marketing, or related field preferred
  • one year of industry-related administrative or sales support experience strongly preferred
  • excellent verbal and written communication skills
  • attention to detail
  • strong organizational skills with ability to manage multiple priorities
  • proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • experience with CRM or sales database systems preferred
  • ability to work effectively both independently and as part of a team
  • customer-service driven and professional demeanor
  • ability to adapt to changing priorities in a fast-paced environment
  • advanced proficiency in Microsoft Office
  • experience with CRM and venue management software a plus

Job Duties

  • Provide day-to-day administrative support to the Director of Sales and Sales Managers
  • maintain and update the sales and event calendar database (CRM Systems-IDSS/Momentus), ensuring data accuracy for events, client contacts, and venue bookings
  • coordinate sales team schedules, travel arrangements, meeting agendas, and expense reports
  • respond to client inquiries, route requests appropriately, and maintain professional client communications
  • track rental contracts, deposits, certificates of insurance, and related documents
  • create and organize digital and physical event files, including updates for canceled or postponed events
  • assist in preparing proposals, presentations, and monthly/quarterly sales reports
  • support sales events and client visits, including prepping materials and coordinating logistics
  • act as a liaison between the Sales Department and other departments such as Event Services and Marketing
  • attend weekly Sales, Event, and Marketing meetings
  • place and manage event holds in the booking system under direction of the Director of Sales
  • provide support during trade shows, familiarization tours, site visits, and other activations hosted by the department
  • perform other duties as assigned
