This job opportunity is for a full-time, non-management Sales and Marketing Office Assistant position located at 25 W 28th St, New York, NY. The hourly wage ranges from $35.85 to $42.00. The role is crucial in supporting the sales and marketing teams by performing general office tasks, preparing sales documents, and assisting in promotional activities to maintain and enhance the brand image both internally and externally. Responsibilities include handling administrative duties such as filing, sending emails, transcribing information, and managing communications with clients and guests. Additionally, the role involves preparing proposals, contracts, and banquet orders related to sales events, and using sales software to enter, reconcile, and verify transactional information.

Job Requirements

  • High school diploma or equivalent
  • At least one year of related work experience
  • No supervisory experience required
  • No licenses or certifications required

Job Duties

  • Perform general office tasks to support sales and marketing such as filing, sending emails, transcribing information, sending faxes, and photocopying
  • Prepare sales-related documents including proposals, contracts, and banquet orders for events
  • Promote brand awareness internally and externally
  • Gather materials and assemble information packages like brochures and promotional materials
  • Use sales software to enter, remove, reconcile, and verify information such as commissions and third-party data
  • Respond to guest inquiries about hotel facilities and services including schedules, rates, room types, packages, promotions, entertainment, restaurants, and special events
  • Serve as the client contact point, communicating via phone and email to answer questions and requests
  • Comply with company policies and procedures, maintain a professional appearance, ensure confidentiality, and protect company assets
  • Greet guests according to company standards, anticipate service needs, and express genuine appreciation
  • Communicate clearly and professionally, prepare and review written documents accurately, and handle phone calls with appropriate protocol
  • Cultivate positive work relationships, support team goals, and respond appropriately to employee concerns
  • Adhere to quality assurance expectations and standards
  • Move and handle objects weighing 10 pounds or less unaided
  • Perform other reasonable duties as assigned by supervisors
