Fidelity Hotel is a unique hospitality establishment located at 1940 E. 6th Street in the historic Baker Building, a 103-year-old landmark in Cleveland. This adaptive reuse project has transformed the old structure into a contemporary boutique hotel that features 97 guest rooms and suites. Each room is thoughtfully designed with tailored amenities, custom furniture, and curated art pieces that reflect the spirit and cultural heritage of Cleveland. The hotel proudly boasts a full-service restaurant, bar, event and meeting spaces, and a private dining room, offering guests and visitors a full range of services and experiences. The role of Sales Coordinator at Fidelity Hotel is an integral part of the sales and events team. This position is responsible for ensuring smooth coordination and communication for all groups and events booked by the sales team. The Sales Coordinator manages rooming lists, cut-off dates, group and event resumes, billing processes, and final audits, ensuring that every detail is handled with precision and timeliness. The coordinator assists with reservations and special requests related to group blocks and events, while maintaining meticulous account files and system profiles. They also screen all incoming telephone leads and direct them to the appropriate Sales Manager, facilitating efficient lead management. In addition to preparing important documents such as group and event resumes and BEO (Banquet Event Order) packets, the Sales Coordinator participates in weekly meetings with the operations team to review upcoming group business. This role demands excellent organizational skills, attention to detail, and the ability to communicate effectively across various hotel departments and levels of management. The Sales Coordinator must be proactive, creative, and capable of working both independently and as part of a collaborative team to support the hotel’s commitment to exceptional hospitality and guest experiences. Job Requirements

  • Bachelor’s degree from an accredited four-year college or university or equivalent combination of education and experience

Job Qualifications

  • Previous group and event coordinating experience
  • Bachelor’s degree from an accredited four-year college or university, or an equivalent combination of education and experience
  • Degree in hospitality, tourism, or hotel management preferred
  • Strong computer skills
  • Excellent communication skills
  • Ability to prioritize and multitask effectively
  • Creativity and problem-solving abilities

Job Duties

  • Coordinate all groups and events booked by the sales teams, not limited to, rooming lists, cut-off dates, group and event resumes, billing, and final audits
  • Prepare group and event resumes, BEO packets, billing, and other documents in an accurate and timely manner
  • Assist with reservations, billing, and special requests for group blocks and events
  • Maintain detailed and meticulously organized account files, system profiles, and accurate systems data
  • Screen and qualify all telephone leads and sources to the correct Sales Manager
  • Participate in the Hotel's weekly Resume and BEO meetings to review group business and upcoming events with the operations team
  • Assist in the development and implementation of special projects as assigned
  • Ensure open lines of communication with staff, all departments, and upper management at all times via email, online applications, meetings, etc., to ensure all needs are met
