We are currently seeking a detail-oriented and highly organized professional to join our Sales & Events team as a Sales & Services Coordinator. This full-time, management-level role is crucial to the smooth operation of group business management and event coordination at the hotel. The coordinator will handle numerous responsibilities daily, including managing individual and group reservations, maintaining room blocks and reservation details, and ensuring all data across various systems is accurate and up to date. The role serves as a central point of contact between clients and internal teams, facilitating clear communication and delivering a superior guest experience.

The ideal candidate for this position will have a strong passion for operational consistency, highly developed organizational skills, and an ability to manage high volumes of communication professionally and efficiently. Responsibilities include coordinating group logistics, managing amenities, preparing materials for events, supporting sales efforts through lead management, and collaborating closely with departments such as Front Office, Revenue Management, Accounting, and Food & Beverage to ensure operational alignment. This role also involves maintaining CRM and reservation systems, auditing data accuracy, and reporting key metrics to support forecasting and planning.

The compensation for this position ranges from $50,000 to $60,000 annually, complemented by bi-weekly pay, health benefits, and a 401k plan. Job Requirements

  • High school diploma or GED
  • 1-3 years of experience in hospitality, reservations, front office, or administrative support
  • Experience managing high-volume phone and email communication
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Outlook, Excel, and Word

Job Duties

  • Create, modify, and manage individual and group reservations
  • Build and maintain room blocks, rooming lists, and reservation links
  • Monitor pickup, pacing, and inventory
  • communicate risks and updates to Sales Managers
  • Ensure accuracy of rates, availability, and billing setup across all reservations
  • Serve as a primary point of contact for group clients via phone and email
  • Respond to inquiries, requests, and changes with professionalism and urgency
  • Communicate booking details, policies, and updates clearly
  • Coordinate group details across departments to ensure seamless execution
  • Lead and prepare internal resume meetings and distribute resume packets
  • Coordinate amenities, VIP arrangements, and group logistics
  • Create and manage event signage and supporting materials
  • Manage incoming leads and assist with pipeline tracking
  • Maintain CRM systems, calendars, and internal documentation
  • Prepare sales materials and internal communications
  • Maintain accurate data across all systems (PMS, CRM, contracts, resumes)
  • Audit reservations, routing, billing, and group setup for accuracy
  • Track and report on key metrics including pickup, pacing, funnel, and forecast
  • Identify discrepancies and proactively resolve or escalate issues
  • Partner with Front Office, Revenue Management, Accounting, and F&B teams
  • Communicate group needs, changes, and priorities clearly across departments
  • Support operational alignment to ensure a consistent guest experience
  • Perform other duties as assigned
