VisitNorman - Convention & Visitors Bureau is a dedicated organization focused on promoting Norman, Oklahoma, as a premier destination for meetings, conventions, conferences, and sporting events. As a key part of the region's economic development, VisitNorman works closely with local hotels, venues, restaurants, and community partners to attract and support large-scale gatherings that bring visitors and business to the area. The bureau acts as a resourceful liaison, providing comprehensive services to meeting planners, sports organizers, and tourists to ensure a seamless and positive experience. The team is committed to growing Norman's reputation as a vibrant and welcoming destination, boosting the local economy through tourism, hospitality, and event hosting.

The Group Sales & Sports Services Coordinator plays a vital role within VisitNorman by providing essential administrative, operational, and sales support for both the Destination Sales team and the Norman Sports Commission. Reporting to the Director of Destination Sales and the Director of the Norman Sports Commission, this position is full-time and exempt with a salary up to $45,000 per year. The work schedule typically follows a Monday to Friday, 8:00 a.m. to 5:00 p.m. routine, with additional hours as required for events or special projects.

This role is fundamentally about supporting the community and business relationships that make events in Norman successful. The coordinator manages Requests for Proposals (RFPs) from inquiry through the bid process, ensuring thorough and timely responses that involve collaboration with hotels, venues, and other community stakeholders. They track leads and accounts through a customer relationship management (CRM) system, prepare promotional materials and bid presentations, and assist with organizing site inspections and familiarization tours. These activities directly contribute to securing and servicing conventions, conferences, tournaments, and other special events that shape Norman’s visitor economy.

Beyond sales support, the coordinator handles critical operational duties such as maintaining sponsorship and in-kind support records, tracking expenses, and preparing return-on-investment summaries. They ensure that communication flows smoothly between VisitNorman and its hospitality partners by distributing promotional collateral like visitor guides, newsletters, and Game Day publications, helping to keep all stakeholders informed and engaged.

The individual in this role must be organized, detail-oriented, and proactive, with strong communication skills and the ability to juggle multiple deadlines. They serve as a professional and courteous representative of VisitNorman at events, meetings, and trade shows, sometimes requiring evening or weekend work. With a focus on teamwork and independent initiative, this position offers a unique opportunity to contribute to the growth and success of Norman's hospitality and tourism sectors through dedicated sales and event support.

Job Requirements

  • Valid Oklahoma driver’s license, or ability to obtain upon hire
  • Background check required
  • Ability to travel locally for meetings and collateral distribution
  • Ability to lift materials up to 40 pounds occasionally
  • Availability for occasional evening and weekend work
  • Regular and consistent attendance
  • Ability to perform extended periods of computer use

Job Qualifications

  • Administrative, hospitality, event, sports management, or sales support experience preferred
  • Strong organizational skills with ability to manage multiple deadlines
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team
  • Skill in maintaining accurate records and tracking financial information
  • Ability to maintain professional relationships with community stakeholders

Job Duties

  • Serve as the initial point of contact for incoming requests for proposals (RFPs) for meetings, conventions, conferences, and sporting tournaments
  • Prepare and coordinate RFP responses in collaboration with hotels, venues, and community partners
  • Enter, track, and maintain leads, accounts, and activity in the designated CRM system
  • Conduct follow-up outreach on leads generated from trade shows, buyer events, sales missions, website/online and third-party inquiries and referrals
  • Assist in preparation of bid proposals, presentations, and promotional materials
  • Coordinate site inspections, planning visits, and familiarization (FAM) tours
  • Track proposal timelines to ensure deadlines are met
