Job Requirements
- High school diploma required
- college education preferred
- prior hotel experience preferred
- proficiency in English speaking, reading, writing and understanding
- basic computing skills including Microsoft Word and Excel
- ability to operate standard office equipment including copier, telefax, multiple-line telephone and 10-key
- good communication skills
- ability to work with diverse staff speaking different languages
- basic math and budgetary skills

Job Duties
- Contract merging, reviewing and routing for DOS approval
- prepare copies in folder for weekly corporate approval
- group set up and rate loading in OnQ for Group Business
- distribute group resumes and/or BEO's for completion and review prior to staff meeting and BEO meeting
- compile packets and information for staff meeting
- maintain, copy and distribute GRC for sales meeting
- maintain group files and permanent files
- direct liaison with designated accounts for rooming lists and ensuring purchase orders are received and properly processed
- establish and maintain sales files, break down, review and file group information after group event
- act as the Lead Catcher with CVB for lead retrieval and reporting
- handle inquiry information from inbound telephone and walk-in guests
- book short term and social room groups under 30 rooms
- update hotel information and maintain stock of sales packets and items
- assist DOS with miscellaneous reports, marketing information and mailings
- conduct hotel tours for walk-ins when no sales manager is available
- manage showroom needs and coordinate with housekeeping
- distribute completed site inspection and VIP guest or amenity forms
- assist with reservation-related duties including extended stay requests, inputting rooming lists, managing group reservation issues
- send, receive and file direct bill and purchase order information for accounts
- send, receive and file credit card authorization information
- ensure billing information is forwarded to front desk
- complete and monitor all Fast Pay accounts with Hilton properties
- assist DOS in keeping sales department informed and assisting with special projects such as mailings and site inspections
- work with other hotel departments to provide quality customer service
- assist with reports and competition data collection
- maintain and order office supplies
- perform other duties as assigned
