Job Duties
- Contract merging, reviewing and routing for Director of Sales approval as needed
- prepare copies in folders for weekly corporate approval
- group set up and rate loading in OnQ for group business
- distribute group resumes and BEOs for completion and review before meetings
- compile packets and information for staff meeting
- maintain, copy and distribute GRC for sales meeting
- maintain group files and permanent files
- liaise with designated accounts for rooming lists and purchase orders, ensure proper processing and distribution
- establish and maintain sales files, review and file group information post-event
- act as lead catcher with CVB for lead retrieval and reporting
- handle inquiry information from inbound calls and walk-ins, forward to Director of Sales or assigned manager
- book short term and social group rooms under 30 rooms peak
- update hotel information for sales packets and maintain inventory
- assist Director of Sales with reports, marketing information, mailings, and blast emailing
- conduct hotel tours for walk-ins as needed
- manage showroom needs including room inspections and coordination with housekeeping
- distribute completed site inspection and VIP guest/amenity forms
- assist with reservation-related duties including extended stay requests, inputting rooming lists, and handling group reservation issues
- send, receive and file direct bill and purchase order information
- ensure front desk and accounting have necessary billing information
- monitor Fast Pay accounts with Hilton properties
- assist in keeping sales department informed of new programs and monthly reports
- support sales staff with special projects like mailings and site inspections
- collaborate with other hotel departments for quality customer service
- assist with reports and competition data collection
- maintain and order office supplies
- perform other duties as assigned
