The sales executive assistant role at Fontainebleau Miami Beach embodies the spirit of service excellence and operational support necessary to enhance the guest and client experience. This role requires a skilled professional capable of executing a variety of administrative and secretarial duties that complement the dynamic sales team. The successful candidate will be instrumental in planning, coordinating, and managing VIP site inspections, ensuring each visit is meticulously customized to reflect the high standards of the property and exceed client expectations. Collaboration is key in this position, as it involves working closely with sales managers, internal hotel departments, and executive leadership to deliver a cohesive presentation of Fontainebleau’s offerings.

The assistant will take charge of developing detailed itineraries that showcase not only the luxurious guest rooms and versatile meeting spaces, but also the curated culinary and entertainment experiences that distinguish Fontainebleau from other luxury hotels. They will oversee the readiness of all areas involved, coordinating with departments like Front Office, Housekeeping, Food & Beverage, Culinary, Engineering, and Security. Serving as the on-site host to VIP clients, they will represent the property with professionalism and enthusiasm, ensuring seamless execution of each site visit.

Beyond logistics, the assistant will anticipate client needs proactively, resolving potential issues and maintaining comprehensive records that support future sales opportunities. Job Requirements

  • Bachelor’s degree in hospitality management, Business, or related field preferred
  • Minimum 3-5 years of experience in hospitality, sales, or event management
  • Experience in luxury hotel or resort environment strongly preferred
  • Previous experience in site inspections, sales coordination, or guest experience roles preferred
  • Computer literate
  • Good writing, analytical and problem-solving skills
  • Knowledge of principles and practices of organization, planning, records management, and general administration
  • Ability to communicate effectively
  • Ability to operate standard office equipment including computers, telephone systems, typewriters, calculators, copiers and facsimile machines
  • Ability to follow oral and written instructions

Job Duties

  • Plan, coordinate, and execute all VIP site inspections ensuring a highly personalized and detail-oriented experience
  • Partner closely with Sales Managers and leadership to understand client needs, preferences, and business objectives prior to each visit
  • Develop customized site itineraries, including guest room tours, meeting space walkthroughs, and curated experiences across the property
  • Coordinate with internal departments such as Front Office, Housekeeping, Food & Beverage, Culinary, Engineering, and Security to ensure readiness and execution of site visits
  • Serve as the on-site host for VIP clients, delivering a polished and engaging presentation of the property
  • Ensure all areas of the hotel are presented to the highest standard, including cleanliness, staging, and service readiness
  • Collaborate with Culinary and Food & Beverage teams to arrange tastings and bespoke experiences as part of the site inspection
  • Anticipate client needs and proactively resolve any issues to ensure a seamless experience
  • Maintain detailed records of site visits, preferences, and feedback to support future business opportunities
  • Follow up with Sales teams post-visit to ensure alignment and support conversion efforts
  • Continuously identify opportunities to enhance the VIP experience and elevate presentation standards
  • Other duties as assigned
