The Sales & Events Coordinator at El Encanto plays a crucial role within the Group Sales and Catering & Events department by delivering seamless administrative, organizational, and operational support. This full-time hourly position, offering a competitive wage of $27.00 per hour, is ideal for individuals passionate about luxury hospitality and event planning. The Coordinator serves as the key liaison between clients and the hotel's internal departments, ensuring that every detail from initial booking through event completion is meticulously managed.

This role involves comprehensive involvement in the planning and execution of weddings, social events, corporate meetings, and other special occasions hosted at the hotel. The Coordinator supports clients by responding to inquiries, confirming event details, preparing proposals and contracts, and organizing banquet event orders, menus, and diagrams. Essential duties include coordinating site inspections, planning meetings, and tastings, as well as assisting with event billing and post-event follow-up. The Coordinator also plays a pivotal role in maintaining accurate documentation and communication flow across departments such as Culinary, Banquets, Front Office, Housekeeping, Engineering, and Security to guarantee flawless event delivery.

Job Requirements

  • Previous experience in event coordination or related hospitality role
  • Proficiency with Microsoft Office Suite

Job Duties

  • Support the planning and coordination of weddings, meetings, corporate events, social gatherings, and special events throughout the property
  • Serve as a primary administrative contact for clients by responding to inquiries, confirming event details, and coordinating event logistics
  • Assist with preparing proposals, contracts, banquet event orders (BEOs), diagrams, menus, and event correspondence
  • Coordinate client site inspections, planning meetings, menu tastings, and pre-conference meetings
  • Host site inspections when needed
  • Maintain regular communication with clients to ensure expectations are clearly understood and executed
  • Assist with event billing preparation, deposits, final guarantees, and post-event follow-up
