Omaha's Henry Doorly Zoo & Aquarium is a world-renowned zoological park and aquarium located in Omaha, Nebraska. The Event Sales Coordinator plays a critical role in bringing private events to life within the unique and captivating settings of the Zoo. This full-time, non-exempt position involves working evenings, weekends, and holidays as needed to support event schedules, with a starting pay rate of $18.62 per hour. The role focuses on helping guests create personalized, memorable celebrations such as birthday parties, company picnics, family gatherings, and other special occasions. The Event Sales Coordinator acts as a liaison between clients and the Zoo’s various departments, ensuring a seamless transition from initial inquiry to event execution.
Utilizing warm communication, exceptional hospitality, and keen attention to detail, the Coordinator assists guests throughout the entire event planning process. This includes responding promptly to inquiries, offering venue tours, tailoring event packages, and coordinating logistics related to catering, audiovisual needs, rentals, vendors, and guest experiences. Collaborating closely with the Event Sales Assistant Manager and the Event Experience team, the Coordinator manages proposals, contracts, banquet event orders, invoices, and maintains accurate event records. The position demands a strong customer service mindset, professionalism, and the ability to multitask in a fast-paced, dynamic environment.
Beyond event sales, the Coordinator enhances the guest experience by anticipating client needs, addressing concerns calmly and efficiently, and supporting the overall success of each event. This role also requires building and sustaining effective working relationships across departments such as Marketing, Facilities, IT, Animal Care, Education, and Business Systems, as well as Guest Experience teams including Food & Beverage, Guest Services, and Retail. Candidates must be highly organized, possess excellent communication skills, and demonstrate sound judgment with a professional demeanor.

Job Requirements
- Candidates are required to pass a pre-employment background check and drug test
- Valid driver's license with a good history
- Ability to work indoors and outdoors in varying weather conditions
- Availability to work evenings, weekends, and holidays based on event schedules
- Ability to stand and walk for extended periods during event execution
- Ability to lift up to 30 pounds as needed for event setup and coordination
Job Qualifications
- 1-3 years of experience in event sales, hospitality, event planning, guest service or related field preferred
- Strong customer service mindset with excellent written, verbal, and interpersonal communication skills
- Highly organized with strong attention to detail and ability to manage multiple priorities simultaneously
- Ability to work collaboratively across teams in a fast-paced environment
- Comfortable interacting professionally with clients, guests, vendors, and internal stakeholders
- Proficiency in Microsoft Office with familiarity with CRM, event management or ticketing systems
- Professional presence, sound judgement, and strong follow-through
- Valid driver's license
Job Duties
- Support sales and booking efforts through phone calls, email communication, venue tours, and client meetings
- Respond to event inquiries in a timely, professional, and welcoming manner
- Help clients select event spaces, packages, and enhancements that fit their needs and budget
- Support departmental revenue goals through upselling and promotion of zoo experiences, food, and beverage offerings
- Actively manage the event sales pipeline and adhere to response-time expectations
- Maintain accurate event records, communication notes, deposits, and sales pipeline activity
- Prepare detailed proposals, contracts, banquet event orders, invoices, and event documentation
- Coordinate event details including timelines, layouts, audiovisual needs, catering, rentals, vendor coordination, and guest logistics
- Ensure event details are accurately communicated to event experience team and zoo partners
- Partner closely with the event experience team to support smooth transitions from sales into event execution
- Participate in planning discussions and departmental meetings
- Provide warm, professional, and welcoming support throughout client interactions
- Communicate clearly and proactively during the planning process
- Help create polished, tailored, and well-executed event experiences
- Anticipate guest needs and identify opportunities to enhance the event experience
- Support guest experience and service standards
- Respond calmly and professionally to guest questions, changes, or concerns
- Jump in where needed to support guests, teammates, and overall event success
- Maintain strong relationships with cross-departmental partners including marketing, facilities, IT, education, animal care, and business systems
- Support the event sales assistant manager and events team with administrative coordination and special projects
- Assist with adherence to departmental procedures, communication standards, and workflows
- Contribute positively to a collaborative, hospitality-focused team culture
