The Sales & Event Coordinator role at Andaz San Diego is a pivotal support position within the Sales, Marketing & Events team. This full-time, onsite role requires a highly motivated individual who thrives in a fast-paced environment and is excited to take on diverse responsibilities with a proactive and can-do attitude. Reporting directly to the Director of Sales, Events & Marketing, the successful candidate will provide crucial administrative and operational support to Sales Managers, Event Managers, and Directors to ensure both successful sales initiatives and flawless event executions. They will act as a key liaison between clients, hotel departments, and the sales and events teams, handling all aspects of lead management, account administration, event coordination, reporting, and client communications with precision and professionalism. The role demands strong organizational abilities, attention to detail, excellent customer service skills, and the capacity to prioritize multiple tasks simultaneously.

The Sales & Event Coordinator will manage and maintain the hotel’s sales and event databases, support the distribution of Requests for Proposals (RFPs), prepare sales contracts and proposals, and generate timely reports to track sales and booking progress. Additionally, the coordinator will assist with administrative tasks related to group sales and events, including coordinating billing, guest amenities, room blocks, and supporting event planning managers with client communication and event logistics. They will also manage department calendars, filing systems, office supplies, and sales materials while supporting marketing initiatives and promotional activities. The position involves close collaboration with various hotel departments to ensure seamless execution of event contracts and requirements, maintaining strict adherence to company policies, safety standards, and service expectations.

This job offers a competitive salary range of $25.00 to $29.00 per hour, with the final compensation depending on the candidate's experience and education. It is important to note that candidates must have legal authorization to work in the United States as this position does not offer visa sponsorship. Job Duties

  • Manage and maintain the Envision database ensuring sales and events bookings and client information are accurate and up to date
  • support the sales team with lead management, RFP distribution, account administration, and database maintenance
  • assist with client communications including responding to inquiries, qualifying leads, coordinating follow-up, and preparing correspondence
  • prepare sales contracts, proposals, presentations, reports, and other sales-related documents
  • generate weekly and ad hoc reports and maintain accurate sales records and booking information
  • provide administrative support for group sales and event planning activities including account management and workflow coordination
  • coordinate event-related administrative tasks including group resumes, billing reviews, guest amenities, and room block details
