Job Requirements

  • High school diploma or vocational secretarial training
  • Previous sales, hospitality, or secretarial experience preferred
  • Advanced knowledge and use of Microsoft Word, Excel, Publisher, and PowerPoint
  • Strong grammar and punctuation skills
  • Standard business letter format knowledge
  • Excellent communication skills
  • Ability to read contracts and letters
  • Ability to use computers
  • Excellent attention to detail and multitasking skills
  • Ability to bend, kneel, stand, and occasionally lift up to 25 lbs
  • Ability to reach all areas of the hotel
  • Ability to communicate clearly with customers and other departments by phone or in person

Job Qualifications

Job Duties

  • Assist sales managers with clerical and administrative duties
  • Respond to telephone and in-person inquiries regarding reservations, hotel information, and guest concerns
  • Answer sales office phones when sales staff are unavailable
  • Type correspondence, reports, contracts, proposals, and other documents
  • Coordinate all group and wedding business as contracted by sales manager
  • Provide follow-up on signed and contracted business within five working days
  • Communicate with hotel departments to ensure successful execution of meetings and functions
  • Maintain well-documented, accurate, and organized client files
  • Develop strong customer relationships through professional communication
  • Assist with sales reports and implementation of hotel-specific selling strategies
  • Create monthly social hour calendar and assist with client events and luncheons
  • Conduct walk-in tours and prepare gift bags for guests and VIPs
  • Keep supplies stocked and coordinate group turnovers with event and banquet coordinators
  • Represent the hotel with integrity and professionalism
  • Display positive team attitude and maintain open communication with coworkers
