The Sales and Catering Coordinator role at Guest Services is a critical administrative support position focused on managing various clerical and customer service duties to facilitate smooth operations within the sales and catering departments. The coordinator is responsible for handling high volumes of information requests by phone, email, and written correspondence, ensuring that all communications are professional, timely, and accurate. This role includes scheduling property tours, organizing catering requests, and assisting with reporting and documentation related to catered events.
Moreover, the Sales and Catering Coordinator provides essential onsite support by assisting with the planning and execution of events, ensuring that service standards, especially regarding food and alcohol safety, are maintained during events. The role requires collaboration with unit managers and other team members to maintain positive guest relations and ensure quality control. Given the nature of the events and operational demands, the role may involve working some nights and weekends, aligning with Guest Services' commitment to seamless hospitality experiences.
This position offers a compensation rate of $16.00 hourly. The ideal candidate will possess clerical skills including typing, filing, and record maintenance, and have proficiency with Microsoft Office applications such as Word, Outlook, and Excel. Strong interpersonal and communication skills are essential, as the coordinator will frequently interact with clients, visitors, and internal staff. Physical requirements include the ability to move frequently within the work environment and the capability to lift and carry equipment weighing up to 35 lbs occasionally. This role demands a professional demeanor, a problem-solving attitude, and a high level of organizational skill to juggle multiple priorities effectively.

Job Duties
- Politely and professionally answer phones and greet clients for main and event catering lines
- respond to inquiries via inbound calls, emails, and faxes
- draft and send professional correspondence and proposals under direction of Unit Manager
- schedule property tours and organize catering requests
- maintain accurate filing system and records for catered events
- assist Unit Manager with creating and distributing catering reports
- maintain positive guest relations and notify Unit Manager of complaints
- assist with unit opening and closing procedures
- maintain cleanliness of office areas and equipment
- ensure food and alcohol safety during events
- communicate effectively with Unit Managers and team members to expedite operations
