Featuring 245 guest rooms, two food and beverage entertainment venues, a café, and Dolly Parton’s Museum, the SongTeller Hotel doubles as an immersive cultural hub. The Sales & Catering Coordinator position at Dolly Parton’s SongTeller Hotel is a vital role within the sales and events team. This position supports the hotel’s sales and catering operations by serving as the primary administrative and operational liaison between clients, the sales team, and various hotel departments. The ideal candidate is passionate about hospitality and excels in providing exceptional guest experiences while managing multiple tasks in a fast-paced environment. This role involves coordinating all client details related to hotel stays and events, including managing room blocks, creating detailed Banquet Event Orders (BEOs), and distributing necessary communications to ensure flawless event execution.

This Coordinator ensures the smooth transition of group bookings from sales contract to event execution, assisting with reservation confirmations and managing billing setups. The role requires close collaboration with teams across events, banquets, and operations to guarantee that every event and group stay is executed with precision and care. Attending weekly BEO meetings, maintaining accurate contract and correspondence files, and balancing revenue goals with client expectations are other critical responsibilities. The Coordinator also acts as an ambassador of the SongTeller Hotel’s brand, participating in client events and community functions to promote the hotel’s visibility and market presence.

In this role, proficiency in hotel management systems such as Delphi, Opera PMS, Salesforce, and Microsoft Office is essential to accurately input and manage information. Attention to detail, strong organizational skills, excellent communication, and relationship-building abilities are paramount. The flexible schedule requirement, including the ability to host site inspections seven days a week, reflects the dynamic nature of the hospitality industry. Job Requirements

  • High school diploma or equivalent
  • previous experience in a hospitality or customer service role preferred
  • excellent communication skills
  • strong organizational skills
  • ability to multitask efficiently
  • proficiency with hotel management software such as Opera, Delphi, or similar
  • able to work flexible hours including weekends
  • customer-focused attitude

Job Qualifications

  • Bachelor’s degree preferred but not required
  • previous hotel sales or catering experience preferred but not required
  • proficient knowledge of Microsoft Office, PMS and POS systems to include Opera PMS, Delphi, Salesforce or other sales management systems
  • strong communication and interpersonal skills
  • proven ability to manage time effectively, prioritize tasks, and work independently with minimal supervision
  • flexible schedule able to host site inspections at any time during a seven day a week period

Job Duties

  • Work directly with clients to coordinate all aspects of their hotel stay, while generating group sleeping room resumes and banquet event orders
  • promptly answer telephone calls and communicate relevant account information to managers and departments
  • complete turnover process for all definite groups contracted by the Director of Sales and Sales Manager, ensuring all guest rooms and event spaces are held and billing is set up successfully
  • develop detailed Banquet Event Orders that capture all event specifications including floor plans, menus, setup, décor, and timing
  • distribute memos, contracts, resumes, room requests, amenities, and other communication as it relates to sales and catering to relevant departments
  • attend and participate in the weekly hotel BEO meetings
  • collaborate with the events, banquets, and operations teams to ensure smooth execution of group stays and special events
