The Sales Administrator position at MobilityWorks is an exciting opportunity to become a key part of a team that supports all store departments including sales, marketing, service, and rental operations. As a Sales Administrator, you will play a crucial multi-functional role ensuring seamless coordination among various teams and providing essential administrative support. You will be responsible for assisting sales and service teams with documentation, preparing vehicle delivery paperwork including DMV-required titling and registration forms, managing inventory and vehicle photos, and supporting customer service follow-ups. Additionally, you will handle accounting duties such as account reconciliation, daily deposits, collections, and expense reports. Your responsibilities extend to managing vendor relationships, representing the company at tradeshows and trainings, and overseeing the vehicle rental department, including training clients on adaptive equipment and processing rental contracts.

Job Duties
- Assist the Sales and Service teams with required documentation
- Prepare vehicle delivery paperwork including DMV-required titling and registration documentation
- Take and upload vehicle photos to SalesForce
- Track inventory on new and used vehicles
- Follow up on customer service ROs including payment and WIP
- Assist General Manager with dealership forecasting and budgeting
- Manage the title process and report title status in MobilityForce
- Process vehicle and warranty registrations
- Respond to BDC leads and distribute to sales team
- Provide backup to sales as needed
- Be accessible for BDC sales calls and appointments on nights and weekends
- Submit manufacturer incentives and rebates for sales team
- Obtain finance paperwork and complete RSA and ESC contracts
- Manage accounts receivable including daily deposits, account reconciliation, collection calls, and paperwork submissions
- Handle monthly petty cash reconciliation, credit card statements, gas logs, expense reports, and check requests
- Manage vendor, customer, and supplier relationships
- Travel to represent company at tradeshows, store openings, and vendor trainings
- Manage vehicle rental department including scheduling rentals, training rental clients, preparing contracts, invoicing, and filing paperwork
- Maintain knowledge of products and services
- Answer customer questions on vans and mobility equipment in absence of management
- Adhere to company policies, OSHA, and safety regulations
