MobilityWorks is a dedicated provider of specialized vehicle solutions for the disabled community, offering wheelchair-accessible minivans, full-size vans with lifts, and commercial fleet vehicles. The Sales Administrator position at MobilityWorks is an essential role supporting both the Sales and Corporate Accounting Departments within the store. This job involves a broad range of administrative and operational tasks designed to ensure smooth and efficient business functions. The Sales Administrator is the first point of contact for clients, greeting them professionally and acting as an information hub by answering incoming calls and directing inquiries appropriately. This role is integral in assisting the Sales and Service teams with necessary documentation, which includes preparing vehicle delivery paperwork and handling state DMV documentation such as titling and registration. Furthermore, the Sales Administrator manages the entire title process, using specialized systems like MobilityForce to report title status.
Additional responsibilities cover warranty submissions, finance paperwork including RSA and ESC contracts, and a spectrum of accounts management duties. The role demands attention to detail for handling Accounts Receivable and Accounts Payable activities, such as daily deposits, account reconciliation, collection calls, petty cash and credit card statement reviews, gas log management, expense reports, and check requests. The Sales Administrator also oversees client account updates and ensures mail is processed properly, both for store and corporate levels, completing the operational support pipeline.
In the rental and inventory department, the Sales Administrator manages vehicle rentals by scheduling, training clients on adaptive equipment, preparing contracts, and maintaining organized filing systems. They also coordinate vehicle maintenance and scheduling repairs to keep the rental fleet operational and create deal jackets to track inventory coherently. The role requires consistent compliance with company policies, OSHA regulations, and state mandates, upholding the core values of MobilityWorks. The position typically operates from Monday through Friday, 8 am to 5 pm, providing a balanced work-life schedule without late nights or weekend duties.
This role commands strong customer service skills, communication abilities, and the capacity to work independently with minimal supervision. Physical capabilities include an ability to handle some lifting and carrying duties, with up to 50 pounds occasionally. - must pass criminal background check, motor vehicle check, and pre-employment drug screening
- ability to function in an office environment using standard equipment such as phones, computers, copiers

Job Duties
- Cheerfully and professionally greet clients when they enter the building
- answer incoming calls and direct them professionally
- assist the Sales and Service teams as needed with required documentation
- prepare vehicle delivery paperwork, including state DMV documentation for titling and registration
- manage the title process and report title status in MobilityForce
- submit warranties as necessary

- collect client payments when service work is performed
