The role being offered is a pivotal administrative position providing comprehensive support to the President and Sales Team of DELO LLC. This position involves managing calendar coordination, travel planning, and the preparation of sales presentations, ensuring that all operational aspects of the leadership and sales activities flow smoothly and efficiently. The successful candidate will take ownership of processing and managing expense reports using SAP Concur, handle special projects, and facilitate the planning and organization of sales meetings, trade shows, seminars, and conferences. As the first point of contact for incoming communications—whether by phone, email, or mail—this individual will serve as a crucial liaison, delivering exceptional customer service at all times.

Additionally, the role demands strong intercultural communication skills as the incumbent will regularly collaborate with international teams, ensuring clear understanding and effective coordination across borders. Managing vendor relationships and supporting process optimization initiatives in close collaboration with the German Headquarters are also key responsibilities. Expertise in tools like Jira and Confluence, along with other internal platforms, will be essential for document and data management. Candidates will be expected to monitor US regulatory compliance requirements, feeding important updates and findings back to the headquarters.

This position calls for an experienced administrative professional located in or near the Greater Boston, MA area, with a minimum of five years in sales administration or small office management. The ideal candidate will hold an Associate's or Bachelor's degree in Business Administration, Office Management, or a related field and demonstrate advanced proficiency in the Microsoft Office Suite. Hands-on experience with AI tools to optimize workflows, strong business writing skills, and intercultural competence in engaging international teams are vital. Additionally, proficiency with CRM and ERP systems, along with excellent communication, organizational, and customer service skills, are required to thrive in this role. Job Duties

  • Provide comprehensive administrative support to the DELO LLC President and Sales Team including calendar management travel coordination and preparation of presentations
  • Process and manage expense reports using SAP Concur
  • Handle special projects as assigned
  • Plan organize and follow up on sales meetings trade shows seminars and conferences
  • Serve as the first point of contact for incoming communications via phone email and mail delivering exceptional customer service at all times
