We are currently seeking a skilled and personable Receptionist to join our team. This pivotal role involves working directly alongside attorneys and legal staff to perform a wide array of administrative support duties. The receptionist will be the primary point of contact for clients visiting the office, responsible for greeting them professionally, managing new client inquiries, and coordinating initial client engagement. The ideal candidate is organized, professional, capable of working independently with limited supervision, and committed to supporting the needs of both clients and attorneys effectively. This position offers a competitive compensation of $20 to $21 per hour, reflecting the importance of the role within the firm. As receptionist, you will handle telephone communications using PABX systems, maintain correspondence, organize office supplies, and assist with various clerical tasks. Your responsibilities will also include ensuring that the firm’s conference and shared spaces are prepared for client meetings and managing the daily mail operations. This role requires excellent communication skills, proficiency with Microsoft Office, Outlook, and ProDoc software, and a proactive approach to maintaining a welcoming and efficient office environment. Job Requirements

Job Duties

  • Greet clients as they arrive at the office and inquire into their purpose of visiting the firm
  • Provide initial information regarding the firm's services and availability of lawyers
  • Obtain preliminary information from new clients to determine their case histories and backgrounds
  • Record all information provided by clients and forward it to lawyers or legal assistants
  • Respond to telephone calls by operating PABX systems, diverting and transferring calls, and taking and relaying messages
  • Handle incoming and outgoing correspondence according to established protocols and procedures
  • Oversee the obtainment and storage of office supplies and equipment while maintaining an effective liaison with vendors and suppliers
  • Ensure that conference and shared spaces are tidy and ready for client meetings
  • Assist attorneys, paralegals, and other staff with various clerical duties as needed
  • Coordinate the daily operations of the mail department including receiving, posting, and organizing all office mail
  • Drive as needed to other local offices to deliver mail or supplies
