The role of Resort Services Coordinator at Park Hyatt Aviara is seasonal but essential in maintaining the high hospitality standards expected at this luxury property. As a Resort Services Coordinator, you will be the central point of communication for guests, ensuring that every interaction — whether by phone or email — exudes professionalism, warmth, and responsiveness. The primary goal of this position is to provide guests with an unforgettable experience characterized by personalized service that anticipates and meets their needs. This requires excellent communication skills, both verbal and written, strong computer literacy, attention to detail, and the ability to manage multiple tasks simultaneously without compromising service quality. You will be expected to have deep knowledge of the resort’s offerings, including accommodation reservations, pool and cabana services, the spa, golf facilities, dining options, group events, conventions, and various local attractions such as outdoor activities, the zoo, and the Flower Fields. The role demands a proactive approach in responding to guest inquiries and service recovery, working closely with other staff members and resort leadership to ensure guest satisfaction is swiftly addressed and maintained. Providing luxury service also includes managing room service orders within an anticipatory service environment and maintaining a calm, pleasant phone demeanor. Job Requirements
- High school diploma or equivalent
- Minimum one year of experience in customer service or hospitality
- Proficient typing skills and pleasant phone demeanor
- Strong computer skills and familiarity with hotel reservation and management software preferred
- Excellent verbal and written communication skills
- Ability to multitask and prioritize tasks effectively
- Strong attention to detail and accuracy
- Ability to remain calm and professional under pressure
- Must be highly responsible, reliable, and able to maintain confidentiality
- Ability to work flexible hours including weekends and holidays
- Ability to work both independently and as part of a team
- Willingness to learn and adapt in a fast-paced environment
Job Qualifications
- Preferred experience within luxury 5-star hotel and/or Hyatt Hotels & Resorts in a capacity delivering outstanding guest experience in reservations, front office, spa, and/or food & beverage
- Experience with hotel systems such as Opera, Reserve, HotSOS, Zingle, Open Table, Infrasys or Micros, Book4Time, Alice (Go Concierge) preferred
- Minimum one year of experience in customer interactions within hotels and/or food & beverage
- Excellent mathematical, written, spoken, technical, and computer skills
- Ability to prioritize, organize, follow-up, and remain calm while resolving problems
- Ability to work with minimal supervision and maintain confidentiality
- Ability to engage in multiple tasks simultaneously with detail and thorough follow up
- Computer literacy in Microsoft Windows applications required
- Highly responsible and reliable with ability to create trust and handle high guest expectations
- Ability to work well under pressure in a fast-paced environment
- Strong focus on guest needs, maintaining calm and courteous behavior
- Confident personality with excellent personal presentation and communication skills
- Self-starter able to work independently and within a team
- Flexible schedule including mornings, afternoons, evenings, weekends, and holidays
Job Duties
- Speak knowledgably about resort and area offerings including hotel reservations, pool and cabanas, spa, golf, restaurants, groups, conventions, and local attractions such as outdoor activities, zoo, and Flower Fields
- Provide professional, personalized, and engaging luxury service
- Complete in-room dining (room service) orders as trained
- React quickly to guest service opportunities and recovery, logging and notifying proper areas and taking ownership of recovery process with support of leadership team
- Answer incoming calls to the resort with good typing skills, pleasant attitude, and excellent phone demeanor
- Correspond with guests professionally before, during, and after their stay
- Multitask efficiently while maintaining attention to detail
