As a Resident Services Coordinator at Lincoln Commons, a Hines Living community, you will be a vital part of a team dedicated to creating exceptional living experiences that residents are proud to call home. Reporting to the Community Manager, the Resident Services Coordinator is responsible for handling resident inquiries and complaints efficiently and professionally, ensuring satisfaction in every interaction. Duties include engaging with residents to foster positive relationships, managing contract obligations, supporting maintenance coordination, and overseeing reservations for community amenities. Additionally, the position involves accounting responsibilities such as invoice management and monthly reporting support, as well as assistance with commercial property management tasks including vendor contract management and retail leasing support. This multifaceted role requires someone who is insightful, proactive, and dedicated to upholding the quality and reputation of the Hines Living brand.
Candidates must currently hold or be willing to obtain a Real Estate Leasing Agent license for the state of Illinois within 120 days, reflecting the regulatory requirements necessary for success in this position. Job Requirements
- High school diploma or GED
- currently hold or obtain a real estate leasing agent license for the state of Illinois within 120 days
- minimum two years relevant experience
- excellent customer service skills
- ability to pass fair housing exam
- strong communication skills
- knowledge of property management software
- ability to work independently
- physical ability to perform building inspections
- ability to work weekends and overtime
- high attendance and punctuality
Job Qualifications
- High school diploma or GED from an accredited institution
- excellent customer service experience with ability to pass fair housing exam
- at least two years relevant experience
- two or more years’ experience in receiving and resolving customer service concerns/disputes
- hospitality experience is a plus
- effective written and verbal communication skills
- ability to work independently without direct supervision
- knowledge of operations software used at property level including Outlook, Internet software, Office 365 including Excel and Word
- ability to meet high attendance and punctuality standards
- ability to visually inspect building including garage and roof areas
- ability to climb stairs for inspections and emergency procedures
- physical stamina to withstand long working hours
- ability to detect emergency alarms visually and/or audibly
- ability to use olfactory, auditory, and visual senses
- ability to work weekends and overtime as required
Job Duties
- Handles and resolves customer complaints
- if unable to resolve independently, acts as a liaison with management team to resolve inquiries/complaints
- responds within 24 hours to residents’ incoming requests via telephone, email, or postal mail
- provide a personalized experience with emphasis on care and convenience for residents
- engage with residents, fostering ongoing, positive relationships while confirming their expectations are being fulfilled
- respond to resident complaints and concerns in a timely and professional manner ensuring gratification
- identify, communicate, and implement opportunities to improve resident experience and service
- support Hines culture and encourage an empowering environment to achieve top prospect survey results and social media reviews
- assist maintenance team with coordination of preventative maintenance schedules, planning, and notifications
- supervise certain contract obligations
- carry out other duties as assigned by Community Manager
- manage all reservations for reservable amenities including sky lounge, guest suites, and loading dock
- responsible for accounting tasks including invoice uploading, approving, and managing all incoming physical mail
- support monthly reporting processes including accruals and variance comments
- support Assistant Property Manager with commercial management including vendor contract management and retail leasing support
- assist in resident renewal and move-out processes
