The Administrative Support professional will work closely with the Director of Residences and Residence Managers to provide comprehensive assistance in managing communications, documentation, and operational functions. This vital position serves as the primary point of contact for Residence owners, ensuring their requests and concerns are communicated effectively and resolved promptly. Responsibilities include preparing and maintaining critical documents such as Owners’ Manuals, newsletters, meeting minutes, legal compliance records, and marketing initiatives aimed at enhancing owner engagement and satisfaction.
Attendance and preparation for Board of Directors meetings are also key elements of this role, ensuring all documentation and organizational materials are meticulously arranged. The position requires managing correspondence, tracking Association dues, organizing event calendars, and coordinating move-in/out logistics as well as vendor and contractor interactions. Strong organizational systems both digitally and physically must be maintained in accordance with The Ritz-Carlton's high standards for accuracy and confidentiality.
Beyond administrative duties, the role demands excellent interpersonal skills to foster positive relationships with Residence owners, associates, and guests. The candidate must uphold professional appearance and communication etiquette while promoting a welcoming and courteous environment. The ability to handle sensitive information discreetly is paramount, alongside flexibility to perform other reasonable tasks to support the broader team.

Job Duties
- Provide administrative support for Director of Residences and Residence Managers
- Document and communicate all requests and complaints to management
- Serve as primary point-of-contact for all Residence owners
- Generate and implement newsletters and marketing programs
- Attend Board of Directors meetings and prepare pertinent materials
- Maintain Owners’ files and ensure legal compliance
- Coordinate Residence owners' requests including move-in/out and vendor management
- Prepare letters, memos, and other documents using office software
- Take and distribute meeting minutes
- Create and maintain filing and organization systems
- Enter and retrieve data using computer databases
- Operate standard office equipment
- Maintain a Task Calendar and operations plan
- Collect maintenance dues and update system
- Assist with owner engagement and satisfaction surveys
- Follow company policies and professional standards
- Develop positive working relationships and communicate professionally
- Welcome and assist Residence owners and guests
- Perform other reasonable job duties as assigned
