The Reservations Sales Specialist role at Four Seasons Resort Palm Beach plays a crucial part in sustaining the resort’s high standards of personalized service and luxury. This position extends the capabilities of the Sales Team by managing and converting reservation inquiries across a cluster of prestigious South Florida properties, including Four Seasons Resort Palm Beach, Four Seasons Hotel and Residences at The Surf Club, and Four Seasons Hotel and Residences Fort Lauderdale. This role involves direct interaction with guests, travel agencies, and internal sales teams to optimize revenue from room bookings, suites, residences, spa appointments, dining reservations, and other luxury services.

Reporting to the Senior Director of Reservations, the Reservations Sales Specialist operates primarily from the Palm Beach Resort but must remain flexible to travel and work across the South Florida cluster as needed. Success in this role demands a strong commitment to teamwork within the shared services model, where collaboration and alignment with cluster-wide operational efficiencies are critical.

Beyond sales, the position involves delivering the Four Seasons promise of intuitive and individualized guest service by expertly handling reservation processes both pre-arrival and on demand. The Reservations Sales Specialist engages with guests through multiple channels including telephone, email, and chat to ensure seamless communication, personalized attention, and swift resolution of any issues or special requests. This professional also supports other departments such as Group Room Coordination, Guest Recognition, and Front Desk managing urgent communications and emergency responses with a high degree of professionalism and care.

Candidates for this role should possess excellent communication and interpersonal skills, strong computer proficiency especially with Opera PMS and Microsoft Office, and a demonstrated ability to multi-task and prioritize in a high-demand environment. Experience in luxury hotel sales or operations, with proven success in sales conversion, will provide a competitive advantage. Job Requirements

  • Must be fluent in reading, writing and spoken English
  • Must be able to analyze guest situations and make suggestions that meet and exceed the guest’s expectations of the hotel
  • Ability to analyze, prioritize, organize, multi-task and follow up with a strong sense of urgency
  • Excellent interpersonal, typing and communication skills, as well as a positive attitude
  • Strong working knowledge of computers including but not limited to Microsoft Office and Opera PMS
  • Skills and ability to learn and master multiple software systems
  • Luxury hotel sales and/or operations background preferred minimum of 3 years
  • Proven sales conversion track record a plus

Job Qualifications

Job Duties

  • Capture sales from in-coming reservation calls including rooms, spa, dining, watersports, and coordinate booking details following reservation standards, processes, and procedures
  • Receive and answer all Web, e-mail, WRO, Trust, Internal Sales & Executive Office, FIT and Wholesale ResCom, confirming and corresponding as needed
  • Answer incoming PBX calls efficiently and friendly, using guest names when possible and routing calls to proper extensions following transfer and hold procedures
  • Manage Four Seasons chat, responding promptly and connecting guests with necessary departments
  • Handle all guest inquiries and interactions with the highest level of hospitality and professionalism, accommodating special requests and resolving complaints per policy
  • Complete pre-arrival reservation detail processes including confirming billing, ResCom, dinner, spa, and waitlisted reservations
  • Support Group Room Coordinator and Guest Recognition Specialist as needed
  • Accept and deliver wake up calls, messages, and faxes timely
  • Handle overflow HOTSOS calls for housekeeping, engineering, guest services, front desk, IRD
  • Comply with Four Seasons sales and marketing standards while working professionally with coworkers and planning committee
  • Monitor and respond to hotel fire control panel and emergency safety situations efficiently and professionally according to crisis management plan
