The Reservations Representative role at HHM Hotels is a pivotal position within the front office team. This role primarily involves responding to inquiries made through telephone, email, and internet channels and employing sales techniques to secure and process reservations. The objective is to ensure guests receive accurate and timely information about room availability, hotel services, transportation options, and rates while maintaining established guest service and sustainability standards.\n\nAs a Reservations Representative, you will serve as the first point of contact for prospective guests, greeting callers in a friendly and professional manner. You will be tasked with managing reservation assignments based on guest preferences and hotel availability, confirming bookings with provided confirmation numbers, and accurately maintaining records in the computer reservation system. This includes efficiently utilizing reservation codes and handling multiple types of guest inquiries related to hotel amenities, transportation partnerships, local attractions, and directions.\n\nAdditionally, you will be responsible for communicating deposit and guarantee policies to guests and tactfully managing complaints or special requests, including negotiating alternate accommodations when the hotel reaches full capacity. This role requires a proactive approach to promoting hotel-specific marketing programs and following all prescribed sustainability guidelines and safety standards including MSDS and OSHA regulations. Job Duties
- Answer the telephone and greet prospective guests in a friendly manner
- respond to callers' inquiries and requests
- respond to email and internet inquiries promptly and accurately
- provide accurate information regarding availability, accommodation types, transportation to and from hotel, room rates, and hotel amenities
- assign reservations based on guest preferences and availability
- provide confirmation number
- input and retrieve data using the computer reservation system utilizing codes for efficiency
- answer questions regarding hotel facilities and services, airline partnerships, local attractions, directions, etc
- communicate applicable deposit and guarantee policies as requested
- handle complaints in a tactful manner and negotiate resolutions such as alternative accommodations when hotel is sold out
- promote hotel and brand-specific marketing programs
- follow sustainability guidelines and practices
- practice safe work habits, wear protective safety equipment and follow MSDS and OSHA standards
- perform other duties as requested by management
