The Reservations/Sales Systems Specialist position at Hyatt is a vital hybrid role tasked with ensuring the smooth and efficient functioning of the Reservations Department in alignment with Hyatt's brand standards, corporate strategies, and hotel revenue goals. This full-time position offers a hybrid work environment, including the ability to work remotely, and requires constant collaboration with multiple departments such as Sales, Revenue Management, Front Office, Accounting, the Global Contact Center, and other Rooms Division sectors. The primary objective of this role is to manage inventory control, room block administration, forecasting, guest communication, and systems administration, all while maximizing room revenue, occupancy, and guest satisfaction.

In this role, the Reservations/Sales Systems Specialist will oversee the processing and management of individual, group, and crew reservations, ensuring accuracy and adherence to Hyatt policies and procedures. They will also deliver exceptional customer service, managing guest interactions via telephone, email, and electronic platforms. The role demands handling complex group communications, including coordinating rooming lists, booking links, deadline reminders, arrival details, welcome letters, and post-stay correspondence. There are additional responsibilities such as managing VIP reservations, addressing special requests, and performing guest service recovery to maintain exceptional guest satisfaction and compliance with Hyatt brand standards.

The specialist will support hotel revenue optimization via meticulous inventory management, yield strategies, and strategic selling practices. Collaborating closely with the Revenue Management department, the incumbent will execute pricing strategies, forecasting models, and overbooking plans. They are responsible for monitoring room availability and allocation, managing compression dates and inventory risks, and maintaining various room blocks like airline crew, corporate, tour, wedding, and contracted groups. Monitoring block pickup pace and forecasted demand also forms a key part of their duties.

Supporting forecasting and financial administration requires maintaining accurate reservation records, billing setups, folio routing, deposits, and prepayments, along with assisting in reconciling group master accounts with the Accounting department. Generating detailed reports on reservations, pickup status, production metrics, and revenue performance is a critical element of this position.

The role extends to systems management, ensuring accurate data integrity across property management systems (PMS), central reservation systems (CRS), rate structures, billing information, and guest records. Monitoring rate code accuracy and contractual compliance while supporting technological and operational improvements is expected.

Active collaboration and relationship management with airline partners, travel agencies, tour operators, corporate clients, and internal stakeholders, including the Global Contact Center and operational teams, are vital. This role involves participating in operational meetings, coordinating site visits, VIP arrivals, special events, and contributing to team development initiatives through knowledge sharing.

Problem-solving and decision-making are daily tasks, requiring the management of reservation disruptions, last-minute changes, and inventory issues. The specialist must assess business risks, escalate problems appropriately to leadership, resolve guest concerns, and ensure full compliance with Hyatt policies and confidentiality regulations.

Additional responsibilities include engagement in special projects, continuous improvement efforts aimed at enhancing guest satisfaction, operational efficiency, and revenue growth, and performing other duties as assigned. The position demands balance between operational oversight, strategic revenue management, and hands-on guest service, making it a pivotal role within Hyatt’s reservation and sales system ecosystem.

Job Requirements

  • Full-time hybrid position with the ability to work remotely
  • Requires regular interaction with hotel leadership, operational departments, travel partners, vendors, and clients
  • Operates in a fast-paced hospitality environment with changing occupancy levels and business priorities
  • May require occasional weekend or peak-period support
  • Requires extended periods working with PMS, CRS, revenue management, sales and reporting systems

Job Qualifications

  • Minimum two years of hotel reservations, revenue support, group housing, sales support or room block management experience
  • Experience managing corporate and leisure groups, crew business, and corporate accounts preferred
  • Hyatt PMS, Revenue, Sales, Marketing, and reservation system experience strongly preferred
  • Strong understanding of reservations, inventory control, forecasting, revenue management, digital marketing platforms, and group contract administration
