The salary range for this position is between $20.80 and $25.45 per hour, with final pay determined by experience, education, and other factors. The Reservations Specialist plays a critical part within the Marketing Department to manage and facilitate the accurate booking of all winery experiences. This includes handling inquiries from both consumers and trade professionals, booking winery tours, tastings, VIP events, and special experiences. This role requires excellent communication skills and a solid understanding of the winery’s story and winemaking techniques to articulate this engagingly and eloquently to visitors. It involves meticulous management of the reservation system to ensure that guest experiences meet expectations and that operational flow in the tasting room is smooth, particularly during busy weekends and special events. As part of their duties, the Reservations Specialist must also manage large group bookings, liaise with tasting room management regarding staffing and scheduling, and assist in event planning and execution. Events supported may range from trade tastings to private functions requiring menu and wine pairings and coordination with caterers and event staff. The role demands flexibility with weekend, holiday, and evening hours and requires the ability to multitask, solve problems, and work autonomously. The Reservations Specialist must maintain up-to-date knowledge about all wines within the Trinchero portfolio and be proficient with various reservation and point-of-sale systems to accomplish sales targets and handle sales order processing. The position also requires handling various communication channels, including phone calls, emails, SMS, and live chat, to provide excellent customer service. This role offers a dynamic work environment blending office, visitor center, and event settings, ideal for individuals with a passion for wine, exceptional organizational skills, and a customer-centric approach.

Job Requirements

  • High school diploma or equivalent
  • Prior experience in customer service or reservations preferred
  • Strong communication skills
  • Proficiency with computer software including reservation and point-of-sale systems
  • Ability to multitask and work autonomously
  • Must be 21 years or older
  • Ability to lift up to 50 pounds
  • Availability to work weekends, holidays, and evenings
  • Valid driver’s license
  • Ability to work onsite in Napa, California
  • Commitment to comply with company safety regulations

Job Duties

  • Provide exceptional customer service through courteous and professional oral and written communication
  • Respond to consumer and trade visit inquiries and secure accurate reservations
  • Articulate winery story and basic winemaking techniques eloquently to visitors
  • Confirm reservations and capture necessary information in the reservation system
  • Upsell various winery experiences and creatively accommodate guest requests
  • Communicate reservation levels and coordinate with the tasting room staff
  • Manage large group reservations and coordinate staff scheduling
  • Maintain and update the reservation system based on staffing and weather
  • Prepare paperwork and reports for tasting room supervisors
  • Handle outbound phone calls with appropriate etiquette
  • Operate multiple systems seamlessly to fulfill customer requests
  • Maintain comprehensive knowledge of wines and winery experiences
  • Manage incoming service club and consumer communications
  • Process sales orders and meet monthly sales targets
  • Attend and assist in executing special events
  • Make wine and food pairing suggestions for event menus
  • Liaise with caterers, event staff, and tasting room for successful event execution
  • Maintain inventory of supplies for events
  • Assist in setting up trade events and internal functions
  • Conduct site inspections for potential future events
  • Provide operational support in the tasting room as needed
  • Perform all related duties as assigned
