The Reservations Specialist position at Trinchero Family Estates is an essential role based on-site in Napa, California. This full-time, non-exempt role involves managing the accurate booking of a variety of winery experiences. The specialist is responsible not only for handling reservations efficiently and courteously but also for assisting with the planning and execution of special events for both external customers and internal stakeholders. With responsibilities encompassing trade and VIP experience bookings, this role requires someone who can provide exceptional customer service, demonstrate deep knowledge of winemaking, and contribute positively to guest experiences. Scheduled primarily for weekend coverage and occasional evening events, this position demands flexibility and a passion for wine and event coordination.

The Reservations Specialist must excel in communication, establishing rapport with visitors while conveying the winery's story and winemaking techniques clearly. The role includes managing large group bookings, communicating reservation levels to the tasting room team to ensure a smooth guest flow, and maintaining the reservation system with accuracy under dynamic conditions such as staffing changes and weather. Additionally, the specialist is responsible for outbound communication, including sales calls and service club outreach, fostering sales growth and cultivating customer relationships.

Event support forms a significant aspect of this role, requiring collaboration with catering teams, event staff, and the tasting room to coordinate logistics and ensure successful event execution. The specialist assists in site inspections and event preparations, including wine and food pairing suggestions. They occasionally step into the tasting room environment to gain firsthand insight into guest experiences and operations.

Trinchero Family Estates offers a competitive salary range of $20.80 to $25.45 per hour, with starting pay based on a candidate’s experience, education, and geographic location. Job Requirements

  • High school diploma or equivalent
  • prior experience in customer service or hospitality

Job Duties

  • Provide exceptional customer service through courteous and professional communication
  • respond to consumer and trade inquiries and secure reservations accurately
  • articulate winery story and winemaking techniques to guests
  • confirm and capture reservation details in the system
  • upsell various experiences and maximize space under winery regulations
  • communicate reservation levels with tasting room staff to ensure smooth guest flow
  • manage large group reservations and coordinate staffing needs
  • update reservation availability based on staffing and weather
  • prepare reservation reports and event paperwork
  • conduct outbound calls with proper phone etiquette
  • operate multiple systems to fulfill customer requests
  • maintain knowledge of wines and winery experiences
  • handle incoming service club and consumer communications
  • process sales orders and meet monthly sales targets
  • assist in executing events by coordinating with caterers and staff
