The role of Event Manager plays a critical part in our organization. An experienced Event Manager, you will take full ownership of the end-to-end management of events of varying sizes, from small gatherings to large-scale corporate functions. Your expertise will extend across multiple facets of event management including client engagement, venue coordination, production oversight, vendor relationships, contract negotiation, and budget administration. This role demands a proactive and highly organized professional who thrives in a fast-paced environment and is able to juggle multiple priorities while delivering outstanding service. You will be instrumental in driving event success by ensuring coordination among all involved departments such as Registration, Platform, Sponsorship, IS, Air, and Finance, while effectively managing resources and timelines to meet project goals.

Responsibilities include leading event planning activities, managing the event budget and financial processes, overseeing program agendas, and maintaining consistent communication across internal and external teams. You will lead client meetings, coordinate with venue staff and multiple vendors, supervise the production of promotional materials, and ensure the seamless execution of all event details. Your role also involves conducting site inspections, managing logistics like hotel room blocks, electrical setups, and audiovisual requirements, as well as addressing contractual obligations with vendors and partners. Travel of up to 50 percent is required to support events at various locations.

This position is ideal for individuals with 2 to 5 years of experience in event management, meeting planning or hospitality, coupled with strong client management abilities. The Event Manager must have excellent communication skills, strategic thinking, and the ability to foster strong relationships with clients and vendors alike. Job Requirements

  • Four-year college degree or related work experience
  • Minimum 2-5 years of experience in event management, meeting planning or hospitality
  • 1-2 years of experience with direct client management
  • Ability to travel up to 50 percent
  • Strong communication skills
  • Proficiency in project management and budgeting
  • Capability to manage vendor relationships and contract negotiations

Job Duties

  • Assume total responsibility and ownership in leading the planning and execution of all assigned events
  • Coordinate event management across all Departments including Registration, Platform, Sponsorship, IS, Air, and Finance
  • Manage event budget, invoicing, schedules of payments and cost savings report
  • Oversee overall program agenda ensuring communication across all internal and external teams
  • Oversee and manage event project plan/timeline
  • Lead and participate in client and internal meetings including regular status meetings, pre-program walkthroughs, onsite meetings, and post-program debriefs
  • Drive client and internal team deliverables to meet timeline milestones
  • Manage all aspects of venue coordination including meeting space allocation, meeting room set-up, diagrams, food and beverage, electrical, internet
  • Manage DMC and outside vendors including Audio Visual, Production, Entertainment, IT/Internet, Photographer, Printer, Security, Shipping, Translation, Transportation
  • Coordinate content, graphic development and production of all program collateral and signage
  • Develop budgets, coordinate itineraries, and lead site inspections
