Achievement First (AF) is a distinguished non-profit 501(c)3 organization dedicated to delivering equal educational opportunities to children across America. We are seeking a highly organized and dedicated Executive Assistant/Office Manager to join our Talent Operations team based in Providence, Rhode Island. This role plays a critical function by providing administrative support to senior executives and managing the day-to-day activities of the regional office. Specifically, about 10% of the role involves office management duties, where the Executive Assistant/Office Manager acts as the face of AF in our co-located office spaces—welcoming staff, coordinating office logistics, handling mail and communication, and supporting HR activities such as onboarding and I-9 verifications. The remaining 90% of the role centers on providing top-tier executive support to senior leadership including the Superintendent and Senior Instructional Team (SIT). Responsibilities include managing calendars, scheduling meetings, coordinating travel and expenses, preparing briefing materials, and ensuring executives are well-prepared for all engagements. This position requires in-person work at our Providence office, with support extended to executives who may be remote or based in other locations.

Operating under the guidance of the Senior Director of Talent Operations, the Executive Assistant/Office Manager will also lead event planning and execution for meetings and large-scale network events such as board meetings and staff gatherings, both in-person and virtual. The role demands strong multitasking capabilities, attention to detail, excellent communication skills, and the ability to navigate a fast-paced, entrepreneurial environment with professionalism and discretion. Candidates should be proficient in Microsoft Office and Google Suite, possess strong ethical standards, and have a passion for Achievement First’s educational mission and diversity values. Job Requirements

Job Duties

  • Provide high quality, executive-level administrative support to executives including calendar management and travel and expense support
  • Manage day-to-day operations of the AF office including serving as liaison and contact for office space users, mail distribution, company email and phone messages
  • Support onboarding tasks such as I-9 verification
  • Plan and execute onsite and offsite meetings and larger network events including board meetings and staff meetings
  • Coordinate communication and manage event budgets
  • Prepare briefs, presentations, agendas, and other documents for meetings
  • Anticipate and resolve scheduling conflicts and issues with executives' calendars
  • Maintain confidentiality and professionalism in all interactions
