The Regional Events Coordinator role is a pivotal position within Nord Anglia Education’s Regional Office in the Americas, based in Miami, Florida, and offers a hybrid working arrangement. This employment opportunity focuses on supporting the successful planning and execution of Nord Anglia Regional Events, emphasizing travel, logistics, communication, and operations management. The Coordinator will be responsible for orchestrating complex logistical operations including travel arrangements for participants and chaperones, ensuring alignment with event itineraries and budgetary goals, and maintaining smooth communications across various stakeholders, including school leads, parents, and vendors.
This role is critical to the flawless delivery of events that connect multiple schools throughout the Americas region, providing opportunities for community building, educational collaboration, and student enrichment. The Coordinator will act as a bridge between different internal teams and external partners, ensuring that each event runs smoothly from start to finish, with well-maintained timelines and contingency plans to handle travel disruptions or other challenges.
In addition to logistics, the Regional Events Coordinator will develop and nurture strong relationships with airlines, transportation providers, suppliers, and various vendors to secure the necessary event services. They will also conduct post-event evaluations to assess operational success, gather feedback from attendees, and contribute recommendations for continuous improvement.
The ideal candidate will possess a bachelor’s degree in Event or Project Management, Business, Travel, Hospitality, or a related field, combined with proven experience of at least three years in event logistics, trip and travel planning, or hospitality operations. Exceptional organizational, interpersonal, and communication skills are essential, alongside the ability to work independently while contributing collaboratively to broader projects. Proficiency in event management software and Microsoft Office suite, along with creative problem-solving skills, are highly valued. Flexibility to work outside standard hours including evenings, weekends, and holidays is also required to accommodate event schedules.

Job Requirements
- Bachelor's degree in event or project management, business, travel, hospitality, or related field
- Proven experience of at least 3 years in event logistics, trip and travel planning and management, or hospitality operations
- Excellent organizational skills with the ability to deliver on immediate priorities and plan for future needs
- Ability to contribute to a range of projects running simultaneously, maintaining high standards
- Highly developed inter-personal skills and a collaborative approach to work
- Ability to work independently, displaying initiative and creativity

Job Duties
- Develop excellent relationships with all key stakeholders internal and external
- Coordinate and support travel logistics and operational delivery of regional events
- Book and manage participant and chaperone flights
- Align bookings with event itinerary and requirements as well as budgetary goals
- Communicate travel itineraries to manager for timely inclusion in collaboration folders
- Liaise with school leads for confirmations, passenger lists, rooming lists, and other planning details, with continued follow-ups
- Maintain accurate travel trackers, confirmations, checklists for the team, schools, and vendors
- Monitor all flights and legs of travel
- proactively alerting issues and communicate to manager for any itinerary adjustments
- Respond to travel delays, itinerary changes, and/or cancellations, helping to identify and implement effective solutions while providing support to school travelers
- Create and maintain detailed event timelines and schedules to support smooth execution and timely completion of tasks
- Facilitate clear and consistent communication with schools, parents, and other key stakeholders
- Identify, negotiate, and work closely with vendors, suppliers, and contractors to negotiate contracts and secure necessary services and resources, ensuring accuracy, timeliness, and alignment with event goals
- Build and maintain strong relationships with airlines, agents, transportation providers, hotels, and other event partners
- Conduct post-event evaluations to review travel operations, event execution, and stakeholder experience
- Gather feedback from attendees and stakeholders to gauge satisfaction levels and make recommendations for future events
- Support the team in identifying efficiencies to continuously improve travel and operational processes
