This administrative position is essential in providing comprehensive support to senior leadership. The role involves managing complex executive calendars, coordinating meetings, handling travel arrangements, and preparing detailed executive reports and presentations. The administrative professional will also be responsible for facilitating communication between the regional leadership and individual hotel teams, coordinating special projects, and supporting various cross-functional initiatives including human resources and finance. This role is vital in ensuring a well-organized, professional operational structure within the hospitality environment.
The position requires exceptional organizational abilities, professionalism, and discretion, especially in handling confidential human resources, financial, and operational data. It demands a high level of multitasking within a fast-paced work environment that involves interaction with multiple stakeholders including guests, vendors, and staff. Another key responsibility includes maintaining and updating corporate documentation, such as organizational charts, standard operating procedures (SOPs), and leadership directories, making sure information flow is seamless and precise.
Moreover, the administrative support specialist will assist with human resources functions such as maintaining personnel files, managing time and attendance records, supporting recruitment and onboarding processes, and tracking employee milestones like performance reviews and anniversaries. Additionally, the candidate will lend support in operational and financial areas by helping process vendor invoices, purchasing requests, and generating essential reports needed for budget management. Job Requirements
- Some college or equivalent education required
- prior experience in an administrative role required
- ability to provide and maintain a valid driver’s license
- must have intermediate computer skills
- must be able to communicate effectively verbally and in writing
- must be detail oriented with outstanding organizational skills
- must be able to work independently
- must be able to lift up to 45 lbs
- must be able to sit for up to 8 hours per day
- must be able to travel occasionally
Job Qualifications
- Some college or equivalent education required
- prior hospitality experience preferred
- prior experience in an administrative role required
- excellent leadership capability and customer relations skills
- strong organizational skills with attention to detail
- intermediate computer skills including MS Office and Excel (VLOOKUP’s and Pivot Tables)
- good verbal, written, and electronic communication skills
- ability to analyze, anticipate user needs and make judgments
- knowledge of Windows OS, PMS, PBX, Key system, and POS
- self-driven and able to work independently
- valid driver license with ability to meet company insurance requirements
- exceptionally strong issue resolution and analytical skills
- ability to maintain confidentiality and discretion
Job Duties
- Support regional leadership across four Utah properties by providing administrative and operational support to the Vice President of Hotel Operations and Regional Leadership Team
- coordinate calendars, meetings, travel arrangements, and logistics for regional leaders
- prepare executive reports, presentations, meeting agendas, and supporting documentation
- coordinate regional leadership meetings, conference calls, and special events
- track projects, action items, and follow-up tasks on behalf of the Vice President of Hotel Operations
- coordinate communication between regional leaders and hotel leadership teams
- maintain organizational charts, standard operating procedures (SOPs), leadership directories, and other corporate documents
- maintain confidential HR, operational, financial, and business information with the highest level of discretion
- maintain employee personnel files and time and attendance records
- assist with recruiting, onboarding, orientation, and new hire paperwork
- track employee reviews, anniversaries, birthdays, introductory periods, and other employment milestones
- track employee incentive programs, social media recognition, and guest satisfaction (GSS) recognition
- assist with regional HR projects and other special assignments
- assist with vendor invoices, purchasing requests, and administrative processing
- assist with regional budgeting, reporting, and operational documentation
- generate reports and maintain various tracking logs as requested
- develop and maintain filing systems and administrative records
- support special projects and operational initiatives across all regional properties
- answer incoming calls and respond to inquiries promptly and professionally
- develop and maintain strong working relationships with all departments to ensure effective communication and coordination
- provide exceptional customer service to guests, clients, vendors, and employees
- maintain a professional, positive, and service-oriented work environment
- perform additional duties and special projects as assigned by the Vice President of Hotel Operations or Regional Leadership Team
