The Coordinator position at Indy Parks & Recreation is pivotal to the seamless operation and delivery of a variety of recreational programs, including aquatic activities, day camps, sports programming, and special events. This role demands an individual who is highly organized and proactive, responsible for the day-to-day management of facilities, programs, and services across different environments and weather conditions. The Coordinator acts as a key liaison between the agency, participants, community committees, and other stakeholders, ensuring programs are implemented efficiently and safely in accordance with established policies. The position involves a blend of administrative oversight, community engagement, and direct supervision of staff, volunteers, and contractors.

Incumbents must exhibit sound judgment and the ability to respond effectively when procedures are not explicit, as errors could lead to inconsistencies, regulatory issues, and budgetary impacts. Demonstrated skills in scheduling, program evaluation, marketing, and safety coordination are essential. The Coordinator is entrusted with responsibilities such as recruiting and training personnel, managing financial collections, organizing communications, and fostering a positive public image for the department. Utilizing various technology platforms—including ActiveNet, Microsoft Office Suite, and others—to manage records and support program operations is a daily requirement.

Job Requirements

  • minimum of a high school diploma or equivalent
  • at least 21 years of age
  • valid Indiana driver’s license
  • ability to obtain NYSCA Clinician Certification
  • CPR and First Aid certification preferred
  • strong organizational and multitasking skills
  • proficient in Microsoft Office Suite

  • ability to work in outdoor and various weather conditions
  • ability to stand or sit for extended periods

Job Qualifications

  • Bachelor’s degree in education, physical education, recreation administration, or related field preferred
  • one year of related work experience may be substituted for each year of formal education
  • must be at least 21 years of age

  • ability to plan and organize events and meetings including agendas and timelines
  • ability to coordinate multiple projects and meet deadlines
  • excellent oral and written communication skills
  • customer service oriented
  • proficient in word processing software such as Word, Excel, and Publisher
  • valid Indiana operator’s license

Job Duties

  • Designs, implements, and evaluates programs and services including aquatic, day camp, recreational, and sports programs, special events, and field trips
  • schedules classes and assists in leading classes
  • follows all Indy Parks and Recreation policies and procedures
  • interacts with community committees and other assigned committees and boards as requested by supervisor
  • assists in recruiting, hiring, training, evaluating, and advising on-site personnel, volunteers, and contractors
  • supervises all participants’ safety while in the program
  • coordinates with managers, regional manager, and risk manager to assess and address safety concerns
  • coordinates daily program communications internally and to the community
  • works with Communications team to develop and implement marketing/promotional plans for programs and events
  • utilizes social media platforms to highlight programs and services
  • responsible for proper collection and depositing of revenues
  • may be required to fill out reports and forms
  • supervises the use of supplies, equipment, and facilities
  • sets up and breaks down for regularly scheduled activities and events
  • enforces rules and regulations
  • maintains cleanliness and general appearance of work site
  • completes inspections and coordinates with supervisors, maintenance teams, risk manager, and Department of Public Works to ensure safety
  • supports and assists participants, volunteers, and staff during program activities
  • maintains all necessary records and files for reporting and audits
  • uses software and technology platforms to organize, document, track, and monitor work
  • supports customer service relations including all forms of communication and marketing
  • maintains confidentiality at all times
  • performs additional duties as assigned by management
