Job Description

The Receptionist / Traffic Coordinator role at WRCB Local 3 News is a multifaceted position essential to the smooth operation of the station's front office and traffic management functions. This full-time position reports directly to the Controller within the Administration department, placing the successful candidate at the heart of interdepartmental coordination and communication. The job entails greeting visitors and managing incoming calls, providing a professional and friendly public interface for the station. This role also supports the Traffic and Accounting teams by assisting with programming logs, scheduling, and commercial traffic management, incorporating software tools like the Wide Orbit traffic system. Additionally, the Receptionist / Traffic Coordinator offers administrative support by handling clerical duties such as filing, copying, managing office supplies, and coordinating equipment maintenance. The position demands strong organizational skills, excellent communication, and the ability to multitask efficiently in a fast-paced broadcast environment. Work responsibilities include assisting with mail distribution, supporting sales through report generation, and contributing to special projects or station events, some of which may require flexible or extended hours, especially during severe weather or emergencies. Candidates for this role should have a high school diploma or equivalent, prior office or administrative experience, and preferably some familiarity with broadcast or traffic systems. Job Qualifications

  • High school diploma or equivalent
  • prior office or administrative experience preferred
  • experience with Wide Orbit traffic system is a plus
  • receptionist experience and Microsoft Office proficiency strongly preferred

Job Duties

  • Greet visitors and callers warmly and professionally
  • route appropriately
  • maintain a clean, welcoming lobby and assist with guest comfort
  • answer multi-line phones, take accurate messages, and transfer calls
  • receive, sort, and distribute incoming mail and packages
  • prepare outgoing mail
  • assist senior Traffic Coordinators with data entry, formatting, daily log generation, and commercial monitoring
  • cross-train in Wide Orbit to fill in during absences or high-volume periods
  • assist Sales by generating reports and preparing make-goods or exception handling
  • provide administrative assistance to the Executive Assistant and Controller, including copying, filing, typing, and interoffice correspondence
  • maintain office supply inventory and place orders as needed
  • coordinate maintenance of office equipment
  • assist with mailings for Accounting, Sales, and other departments
  • research station and network websites to answer viewer inquiries
  • order and pick up food for meetings or events
  • help with special projects and assist during station events or storm coverage as needed
