We are currently seeking an energetic and organized Receptionist/Scheduler to join our front desk team. This position serves as the first point of contact for our patients and plays a crucial role in the efficient operation of our busy ophthalmology office. As the Receptionist/Scheduler, you will be responsible for greeting and checking in patients with professionalism and courtesy, managing appointment scheduling for routine exams, follow-ups, testing, and surgical consultations. You will also handle patient registration, verify insurance eligibility, obtain necessary referrals or authorizations, and collect payments accurately. This role requires effective communication with clinical staff and providers to coordinate patient flow and optimize provider schedules, ensuring a smooth daily workflow.

The ideal candidate will have prior scheduling experience, preferably in an ophthalmology or healthcare setting, and be proficient in using electronic medical records (EMR) and practice management (PM) systems. Strong organizational skills and the ability to multitask in a fast-paced clinical environment are essential. You will assist with administrative duties such as scanning, filing, faxing, and handling records requests, all while adhering to HIPAA, OSHA, and other regulatory guidelines to maintain patient confidentiality and workplace safety.

Job Requirements

  • High school diploma or equivalent
  • 1-3 years of scheduling experience preferably in ophthalmology
  • Knowledge of medical terminology preferred
  • Experience with insurance verification and prior authorizations
  • Proficiency in EMR and PM systems and Microsoft Office
  • Strong communication, organization, and multitasking skills
  • Ability to work in a fast-paced clinical environment

Job Duties

  • Greet and check in patients in a professional and courteous manner
  • Schedule, reschedule, and confirm patient appointments for routine exams, follow-ups, testing, and surgical consultations
  • Verify insurance eligibility and obtain necessary referrals or authorizations
  • Collect co-pays, balances, and process payments accurately
  • Maintain and update patient demographic and insurance information in the electronic medical record (EMR) system
  • Answer multi-line phone system and respond to patient inquiries regarding appointments, procedures, and general office information
  • Coordinate scheduling for doctors visits and diagnostic testing (e.g., visual fields, OCT, retinal imaging)
  • Communicate effectively with clinical staff to manage patient flow and provider schedules
  • Assist with administrative tasks including scanning, filing, faxing, and records requests
  • Follow all safety procedures as per guidelines
  • Adherence to HIPAA, OSHA, hazard reporting, safety data sheets (SDS) guidelines, safe handling practices, mandatory reporting, and all local, state and federal guidelines
