Job Description

4Culture is an independent public agency established under state law and King County ordinance in January 2003, following its 35-year history as the King County Office of Cultural Resources. Located in Seattle, Washington, 4Culture serves as the primary cultural funding and services agency for King County. It supports and promotes numerous aspects of cultural life including arts, heritage, historic preservation, public art, and science and technology across the region. This position is for an experienced Receptionist who will play a vital role within 4Culture's Operations Department. The Receptionist is responsible for creating a welcoming, efficient, and secure environment both in the office and exhibition areas. Reporting directly to the Director of Operations, this full-time role (37.5 hours weekly) offers a competitive salary within Grade 13, ranging from $26.99 to $40.38 hourly, with a starting pay expected between $30.33 and $33.68 per hour. The compensation package includes participation in the Washington State Retirement System along with other benefits.

The ideal Receptionist at 4Culture is someone deeply committed to advancing racial equity and social justice while providing excellent customer service to a diverse community. Their role will extend beyond reception duties to collaborating with committees and work groups and supporting day-to-day operational functions. This position requires someone who can skillfully handle multiple responsibilities such as managing front desk and phone inquiries, maintaining Salesforce databases, engaging facility safety protocols, scheduling building maintenance, and assisting with mail and office supplies. The Receptionist will serve as the safety point person, responsible for monitoring security and emergency situations, and ensuring that visitors to Gallery 4Culture and exhibition spaces are properly attended to. Alongside daily administrative support, the Receptionist will contribute ideas and help improve office procedures and records management, including collaborating with the Director of Operations to manage public records and archives.

Candidates must demonstrate strong organizational skills, problem-solving abilities, and excellent written and oral communication skills, including comfort with public speaking. They should be adept at handling confidential and time-sensitive materials and navigating complex interpersonal situations with professionalism and calmness. Expertise in Microsoft Office programs, Outlook, PowerPoint, Teams, Zoom, and contact database systems such as Salesforce is essential.

Job Duties

  • Provide office and gallery reception during business hours including front desk and phone inquiries ensuring all guests are warmly welcomed to 4Culture during their visit
  • Perform consistent daily tasks within the Salesforce database including creating and maintaining accounts and contacts
  • Provide a high level of customer service by promptly and accurately responding to inquiries and directing visitors to the office notifying appropriate staff of visitor arrival
  • Maintain a safe and clean reception area
  • Act as a facility safety point person by determining whom to allow entry monitoring potential situations in the public space engaging in safety protocols as needed and serving as a point of contact in facility emergencies
  • Monitor general voicemail and ensure messages are responded to in a timely manner and routed to appropriate parties
  • Manage multiple email accounts and methods of internal external communications
  • Assist with building maintenance scheduling including janitorial and maintenance contractors
  • Receive mail in and out of office including signing for and distributing packages as well as delivering mail to appropriate departments
  • Monitor visitors to Gallery 4Culture and exhibition spaces
  • Support staff needs by ordering and receiving office supplies for both offices frequently moving supplies and equipment of various sizes and weight between two offices across the street from one another
  • Work with Director of Operations and staff to improve procedures and processes by contributing ideas and troubleshooting issues as they arise proactively seek out solutions and bring ideas for improvements
  • Coordinate administrative aspects of preserving public records related to the position
  • Coordinate file management and transferring relevant records to King County archives
  • Support Gallery Manager and monthly art exhibits with small daily maintenance tasks
