Job Description

This position is for a part-time Receptionist/Office Clerk, responsible for administrative duties essential to the smooth operation of the Salvation Army Arnold Corps office. Working 24 hours a week, at a rate of $14.00 per hour, this role hinges on effective communication, organizational skills, and the ability to manage multiple clerical tasks. The individual in this role acts as the first point of contact for visitors and callers, handled through phone calls and face-to-face interactions, ensuring that inquiries and concerns are directed appropriately and dealt with professionally.

The Receptionist/Office Clerk supports the daily workflow by handling correspondence, preparing deposits, maintaining office supplies, and managing incoming and outgoing mail. This role requires a high standard of confidentiality, the ability to work with minimal supervision, and the capacity to maintain a positive and professional work environment. The job also involves assisting staff with special projects and ensuring the office setup remains organised and functional. The individual will periodically open and close the building as necessary and must adhere to professional standards that represent the Salvation Army's values and mission. This role is crucial in fostering good relationships among co-workers, clients, and Advisory Council members by demonstrating courtesy, respect, and professional communication.

Job Requirements

  • high school diploma or GED
  • one year formal secretarial or administrative training or equivalent clerical work experience
  • ability to type 45 words per minute
  • proficiency in Windows with word processing, spreadsheet, and email applications
  • good written and verbal communication skills
  • ability to multitask effectively
  • ability to work in an office environment using computer and telephone equipment
  • ability to maintain confidentiality and professionalism
  • willingness to learn and advance skills as necessary
  • pass TSA MVR check (preferred)

Job Qualifications

Job Duties

  • answer phones, handle routine calls and direct calls to the proper department/program
  • take and pass messages as needed
  • make telephone calls as requested (e.g., meeting reminders)
  • perform clerical support functions including typing, copying, filing, faxing
  • collect and distribute incoming mail and dispatch outgoing mail
  • maintain office area clear and in order
  • manage and order office supplies and maintain work room
  • work with staff on special projects
  • open and close building as necessary
  • adhere to professional standards of practice
  • appropriately represent The Salvation Army in the community and be supervised by the Office Manager
  • maintain confidentiality
  • maintain positive work atmosphere by behaving and communicating in ways that foster good relationships with clients, co-workers, and supervisors
  • resolve conflicts professionally
