The successful candidate will perform a wide range of support functions geared towards ensuring smooth clinic operations, effective communication between healthcare providers and patients, and seamless appointment and registration processes.The general surgery team at CHA is highly experienced, performing numerous procedures at some of Boston's top teaching hospitals. With a growing department that includes minimally invasive surgery, hepatobiliary and pancreatic programs, as well as multidisciplinary breast centers, this position supports a dynamic and evolving surgical care environment. Administrative duties include appointment scheduling in compliance with CHA policies, patient registration and reception, telephone reception, managing medical records, participation in quality and care team activities, and various general administrative tasks. The role requires excellent customer service, strong organizational capabilities, and the ability to handle fast-paced environments efficiently. With a focus on team-based care, the position also involves responding to electronic communications within the scope of the role and maintaining patient confidentiality and data accuracy.The working environment at CHA exposes employees to the vibrant and busy atmosphere of a healthcare facility, including exposure to electrical and chemical hazards and bodily fluids. Job Requirements
- High school diploma
- Preferably one year of experience in a medical setting
- Excellent customer service skills and telephone etiquette
- Demonstrates effective communication skills
- Excellent organizational skills
- Ability to work independently or in teams
- Ability to multitask in a fast-paced environment
- Knowledge of medical terminology preferred
- EPIC experience preferred
- Sufficient mobility to navigate physical plant layout
- Strength and endurance to work continuously for 4-5 hours
- Ability to enter data into computer for up to 5 continuous hours
- Ability to carry, push or lift equipment up to 20 lbs
- Ability to respond to urgent patient care needs
- Knowledge of a second language preferred
- Must adhere to CHA policies and protocols
- Must comply with confidentiality policies
- Must attend required trainings and complete annual competencies
Job Qualifications

Job Duties
- Follows CHA appointment scheduling policies and protocols
- Schedules new and follow-up appointments within appropriate time frames
- Collects complete appointment information and places reminder calls
- Greets patients and visitors and verifies insurance coverage
- Checks in patients and attaches referrals in EMR
- Collects co-payments and routes billing questions
- Answers telephones promptly and directs calls appropriately
- Completes requests for medical records and scans information into EMR
- Participates in team-based care and conducts patient outreach
- Documents patient encounters accurately and maintains confidentiality
- Assists with patient forms and MyChart activation
- Facilitates clinic flow and acts as liaison between patients and staff
- Complies with CHA service standards and emergency protocols
- Reports to work ready to receive assignments and participates in meetings
