The Full-Time Front Desk Receptionist/Concierge role at Bellbrook is instrumental to the smooth functioning of the community's administrative operations. This role is designed to support the Administrator, Executive Director, or designated personnel by managing a variety of administrative tasks critical to daily functions. The position requires a well-organized, personable, and efficient individual who can multitask and maintain strong communication links both within the community and with external visitors and family members. The schedule is a set day shift, either from 9 AM to 5 PM or 10 AM to 7 PM, including working every other weekend, ensuring consistent coverage at the front desk.
Key responsibilities include maintaining records, managing the switchboard, processing payments, scheduling appointments, managing supplies, and assisting with various administrative duties. The Front Desk Receptionist/Concierge acts as the welcoming face of the community, directing visitors and family members while responding courteously to inquiries, thereby enhancing the overall resident and visitor experience. This role is crucial in maintaining the office's organization, cleanliness, and safety standards. Additionally, the receptionist contributes to financial reporting and keeps statistical data updated as required, supporting effective community operations.
The ideal candidate is expected to have a High School Diploma or equivalent and previous reception or secretarial experience, preferably within long-term care or working with the geriatric population. Familiarity with office equipment such as copiers, printers, fax machines, and phone systems is necessary. Job Duties
- develop and maintain a good working rapport with inter-department personnel and other community departments to assure administrative services are maintained
- greet and direct visitors and family members
- accumulate, maintain, and provide statistical data as directed
- ensure timely submission of financial records and cost reports to the Executive Director or Administrator
- process payments for deposit following established guidelines
- schedule appointments, process mail, and operate the switchboard
- maintain a clean and safe office environment and manage necessary equipment and supplies
- order and manage office supplies
- respond courteously to internal and external inquiries, especially addressing the needs of the elders in the community
- assist in preparing financial and statistical reports including census reports
- assist department managers with various administrative functions such as copies, letters, and preparing binders
