The firm is currently seeking a Temporary to Permanent Reception & Concierge professional to join their team. This position offers a competitive salary of $60,000 and requires the individual to work on-site five days a week with set working hours between 8:30 AM to 5:30 PM or 9:00 AM to 6:00 PM. The role is vital in ensuring smooth day-to-day operations, focusing on providing exceptional reception services, client greeting, and office coordination. The individual will act as the gatekeeper for the firm, managing all visitor interactions and operational tasks at the reception desk.
This position demands continuous physical presence at the reception area during assigned shifts, serving as the primary point of contact for employees, clients, and vendors. Apart from greeting and managing visitor access, the role involves handling mail, coordinating meetings, managing lunch and catering logistics, and assisting with the setup and monitoring of audiovisual equipment in conference rooms. The Reception & Concierge must be adept at handling time-sensitive operational tasks, multi-tasking efficiently in high-demand periods, such as lunch hours and visitor arrival windows.
Furthermore, the individual will be responsible for calendar management, order placement and reconciliation of catering invoices, vendor coordination, and invoice processing using platforms like Workday and Concur. Working closely with the New York Office Services Team and Administrative Support Team, the role also provides backup coverage and supports ad-hoc projects as necessary. - Two to four years of professional experience preferred

Job Duties
- Serving as gatekeeper in person and on the phone for the firm
- Greeting employees and clients
- Maintaining continuous physical presence at reception desk during assigned hours
- Managing visitor access, meeting support, lunch coordination, vendor access, and mail handling
- Coordinating calendar and catering for onsite meetings
- Tracking, receiving, and managing delivery timing for meals and catering
- Providing primary coverage for AV set-up and monitoring meetings and conference rooms
- Liaising with Technology Solutions to ensure AV equipment readiness
- Placing catering orders for all firm meetings and providing white glove service
- Reconciling and submitting catering invoices for approval
- Processing and tracking invoices via Workday and Concur
- Supporting ad-hoc projects as needed
- Providing backup coverage to Office Services Team
