The Albuquerque office is currently seeking a full-time Receptionist/Administrative Project Coordinator to serve as the first point of contact for visitors and staff. This crucial role provides exceptional service to internal and external clients, enhancing their overall experience while supporting multiple project teams. The position blends front-office reception duties with vital administrative project coordination tasks, including document management, assisting project managers, processing invoices, and coordinating meetings. The ideal candidate will have an associate degree or equivalent experience, proficiency in Microsoft Word and Excel, and the ability to manage multiple priorities calmly and efficiently in a fast-paced office environment.

As an Administrative Project Coordinator/Receptionist at HDR, you will play a key role in fostering a welcoming atmosphere while supporting complex project workflows. Responsibilities include answering and directing phone calls, scheduling conference calls, distributing mail, ensuring adherence to company quality assurance procedures, and assisting with a variety of administrative project tasks from contract review facilitation to coordinating subconsultant procurement. You will also be responsible for maintaining office inventory, managing deliveries, and serving as a liaison with third-party vendors. Job Duties

  • provide exceptional service to internal and external clients
  • answer and direct phone calls, deliver messages, greet employees and visitors
  • schedule conference calls and distribute incoming faxes and mail
  • apply company quality assurance guidelines for project document management
  • assist project managers with project development, initiation, planning, execution, and closeout activities
  • produce, proofread, format, organize and maintain various written materials such as project guides, minutes, invoices, reports, specifications, and correspondence
  • facilitate contract and fee review
  • order insurance and monitor insurance certificates
  • facilitate subconsultant procurement process
  • process and reconcile invoices and prepare purchase requisitions
  • assist with and help coordinate meetings and presentations
  • maintain office supplies and place orders
  • manage deliveries including preparation of outgoing packages
  • serve as liaison between third party vendors
  • assist administrative staff as needed
  • perform other duties as required
