We are currently seeking an experienced Administrative Assistant to provide comprehensive administrative support to our executive team. The role is integral to the smooth functioning of the leadership office, offering direct support in managing communications, organizing schedules, coordinating meetings, and facilitating various administrative tasks. This position requires a high level of professionalism, confidentiality, and the ability to operate efficiently in a fast-paced environment. Job Requirements

  • Bachelor's degree or related experience
  • At least 2 years of administrative support or receptionist experience
  • Bilingual in English and Spanish preferred

Job Qualifications

  • Minimum of 2 years of administrative support or receptionist experience

  • Proficiency in scheduling and calendar management

  • Fluency in English
  • Bilingual in English and Spanish preferred

Job Duties

  • Provide administrative support to executives including telephone coverage, photocopying, mail handling, monitoring and responding to email, file maintenance, and assisting with special projects
  • Coordinate and schedule staff meetings, manage calendars, reserve conference rooms, arrange catering, and set up conference and video calls
  • Answer, screen, and direct incoming telephone calls and emails to appropriate departments
  • Manage executives' schedules and logistics including calendar management, phone calls, public appearances, travel arrangements, filing, and other scheduling tasks
  • Greet internal and external visitors professionally and courteously
  • Organize and manage travel arrangements for the team
  • Work proactively in a fast-paced environment
  • Maintain and preserve confidentiality of sensitive information
  • Perform general administrative duties and other tasks as assigned
