The role of Receptionist/Administrative Assistant at Dickinson Wright PLLC is integral to the smooth operation of the firm's office environment. This full-time position reports to the Office Administrator and involves handling a variety of administrative and clerical support duties essential to the daily functions of the firm. The Receptionist/Administrative Assistant acts as the first point of contact for clients and visitors, ensuring professional and courteous communication at all times. Responsibilities include managing multi-line telephone systems, coordinating communication between attorneys, staff, and clients, and maintaining the reception area to uphold the firm's welcoming atmosphere.
In addition to reception duties, this role supports attorneys and staff by managing mail distribution, scheduling conference rooms, handling expense reports, and maintaining filing systems. The role requires attention to detail, excellent organizational skills, and the ability to manage multiple tasks under time constraints. Proficiency with Microsoft Office software is essential, along with strong interpersonal skills to effectively interact with a diverse range of individuals within the firm. The position occasionally demands flexibility in working hours, at times requiring more than 40 hours per week to fulfill essential responsibilities.

- one to two years administrative or receptionist experience

Job Duties
- Receive telephone calls and communicate with attorneys and staff
- operate a multi-line telephone console to relay incoming, outgoing, and internal calls
- communicate with attorneys and clients via email and/or telephone
- receive clients and visitors and ensure proper clearance and routing
- maintain good public relations with clients while observing confidentiality
- read, sort, and date incoming mail
- ensure timely delivery of outgoing mail and route mail as necessary
- assist with faxing, copying, and other clerical needs
- receive and record deliveries and route to appropriate recipients
- maintain records of packages left for pick-up
- schedule and maintain conference room records
- coordinate special conference room setups and meal orders
- maintain neatness of lobby and reception area
- place and follow-up on facilities management service calls
- support clients, attorneys, and staff by handling administrative roles and critical tasks
- open new files, request conflict of interest checks, and maintain filing systems
- draft and submit expense reports and invoice payment requests
- perform overflow typing, filing, or photocopying as needed
