The Receptionist role is a pivotal position within the company. Reporting directly to the Executive Director, the Receptionist is the face and voice of the organization—handling all initial communications with callers and visitors to ensure a welcoming and professional interaction. Beyond greeting and assisting guests, the Receptionist undertakes a variety of secretarial duties that are essential to the smooth operation of the office. This includes maintaining and preparing important company documents, assisting with the coordination of facility events, and managing both incoming and outgoing mail. The receptionist also handles office supply management, making sure the company is well-stocked with necessary materials to support day-to-day functions. Additionally, the role may involve special projects assigned by the Executive Director, requiring flexibility and the ability to multitask efficiently. This position demands strong organizational skills, excellent communication capabilities, and a proactive approach to handling administrative tasks, all of which contribute to the seamless flow of the office environment.

Job Requirements

Job Qualifications

  • prior experience in a receptionist or administrative assistant role preferred

Job Duties

  • greet callers and visitors and direct them appropriately
  • perform secretarial duties including document maintenance and preparation
  • assist in coordinating facility events
  • manage incoming and outgoing mail
  • order office supplies and materials as needed
  • undertake special projects as assigned by the Executive Director
