We are currently seeking a Weekend Receptionist to join our team, specifically to cover Saturday and Sunday shifts. This role is essential in delivering a positive first impression and superior customer service to everyone entering the community. As the initial point of contact, the receptionist will manage a multi-line telephone system with professionalism and courtesy, ensuring messages are relayed promptly and accurately. Beyond phone management, this position involves distributing and sending mail, maintaining office supply inventory, and supporting various administrative and special projects as requested by the management team.
The Weekend Receptionist plays a critical role in assisting the Executive Director and Business Office Manager when needed and contributes to maintaining confidentiality concerning residents’ personal information and rights. A key part of the role is fostering a positive customer service environment, demonstrating honesty and integrity while maintaining a professional appearance and demeanor that encourages a nurturing setting for residents and guests alike.
Additionally, the receptionist is involved in ensuring adequate coverage during meal service times by coordinating with the Culinary Services Director and Host/Hostess, taking meal orders from residents, providing drink refills upon request, and helping with cleaning and resetting the dining areas between meals. The environment is dynamic and may present frequent interruptions, making it crucial for the receptionist to maintain composure and a calm, pleasant attitude even under stress.

Job Requirements

Job Duties
- Manages a multi-line telephone system by answering calls in a timely manner, relaying messages accurately and in a courteous, customer friendly manner
- Provides a positive first impression of the community to all customers
- Distributes and sends mail and faxes
- Maintains inventory of office supplies
- Assists managers in special projects and mailings as requested
- Assists Executive Director and Business Office Manager as needed
- Maintains confidentiality of residents' personal information and supports residents' rights
- Maintains a professional appearance and demeanor
- Ensures adequate daily coverage for meal service by communicating with Culinary Services Director and Host/Hostess, taking resident orders for meals, providing drink refills, and assisting with dining room preparation
- Performs all other duties as assigned or required
