The role of Receptionist is central to the smooth operation of the organization’s front desk and visitor management system. The individual filling this position will be the primary point of contact for guests, handling a monthly guest volume ranging from 350 to 450 individuals. This requires excellent interpersonal skills and the ability to manage multiple tasks efficiently in a busy environment. Responsibilities include greeting guests with professionalism and courtesy, managing daily guest lists, and ensuring that all inquiries directed to the reception mailbox are promptly and accurately addressed.
Moreover, the receptionist will be responsible for handling incoming calls and voicemails, routing them to the appropriate parties, and maintaining security protocols by registering guests into the BXP security system. The position also entails managing replacement access badges and distributing monthly transportation passes. The receptionist will be responsible for booking conference rooms using a reservation system and maintaining updated monthly data as well as adhering to site procedures.
This role demands a high level of computer proficiency, particularly with Microsoft Office and Office 365, and requires excellent written and spoken communication skills to effectively interact with guests and staff.
