The role of the Receptionist at River Mills Assisted Living is integral to maintaining the smooth operation of communication and front desk services for the community. The receptionist will serve as the initial point of contact for all residents, staff, and visitors, responsibly managing incoming communications and providing essential information and support. The individual in this role is expected to operate the telephone and communication systems, answer inquiries cheerfully and professionally, and perform various clerical duties to assist different departments. This position requires strong interpersonal skills, attention to detail, and the ability to multitask efficiently in a fast-paced environment.

As the cornerstone of the communication center, the receptionist plays a critical role in enhancing the community image by responding to calls and visitors with a courteous and helpful attitude. Responsibilities include answering incoming calls and directing them appropriately, retrieving and forwarding voice mail messages, greeting and assisting visitors, handling mail and publications, and performing essential administrative tasks such as filing, photocopying, and faxing. Additional duties involve financial tasks such as collecting rent and meal ticket money and coordinating with the business office for processing. The receptionist will also maintain office equipment and provide support to community staff to ensure that operational goals are met expediently.

Job Requirements

  • High school diploma or general education degree (GED)
  • one to three years related experience and/or training or equivalent combination of education and experience
  • able to read and comprehend simple instructions, short correspondence, and memos
  • able to write simple correspondence
  • able to effectively present information in one-on-one and small group situations
  • able to add and subtract two digit numbers and to multiply and divide with 10's and 100's
  • able to apply common sense understanding to carry out detailed but uninvolved written or oral instructions
  • able to deal with problems involving a few concrete variables in standardized situations
  • able to operate telephone, emergency call system, monitoring board or beeper, photocopier
  • able to work various schedules and shifts as needed
  • experience with Microsoft Word, Outlook and Excel

Job Duties

  • Answer incoming telephone calls in a cheerful and marketing-oriented way
  • determine purpose of callers and forward calls to appropriate personnel or department
  • retrieve messages from voice mail and forward to appropriate personnel
  • take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable
  • answer general questions about the community and provide callers with necessary information
  • welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel
  • receive, sort, and route mail
  • maintain and route publications
  • maintain copy and fax machines, assist users, send faxes, and retrieve and route incoming faxes
  • create and print fax cover sheets, memos, correspondence, reports, and other documents as necessary
  • perform clerical duties such as filing, photocopying, and collating
  • collect rent checks from residents and family members and provide needed information to Business Office Manager
  • collect money for meal tickets
  • perform other duties as assigned
