The Part-Time Receptionist position supports Freeman's Event & Exhibit Services team based in Las Vegas, NV. This role is central to maintaining smooth communication flow and a welcoming environment both in-office and at show sites. Working on a part-time, in-person schedule, the Receptionist acts as the crucial first point of contact for callers, customers, and visitors, managing a multi-line telephone system and efficiently directing calls to the appropriate team members. Beyond handling inbound calls, the role encompasses an array of administrative and clerical responsibilities including data entry, maintaining telephone lists and spreadsheets, handling mail and packages, and managing visitor badge inventory.

Safety is a key priority at Freeman, and the Receptionist actively supports a safe work environment by adhering to all safety policies and procedures, reporting hazards promptly, and contributing to the company’s positive safety culture. The role also involves coordinating office logistics such as managing beverage inventory for refrigerators and overseeing seasonal and holiday decor to ensure a professional and inviting atmosphere.

This position requires strong organizational skills, proficiency in Microsoft Outlook, Word, Excel, and PDF tools, and a basic understanding of workplace safety practices aligned with OSHA requirements. Typing skills of 40 words per minute are essential to handle the volume of clerical duties effectively. The ideal candidate demonstrates professional interaction with customers, internal teams, and external vendors while maintaining attention to detail and multitasking in a dynamic environment.

Job Duties

  • Welcome on-site visitors, determine nature of business, announce visitors to appropriate team members
  • Answer incoming telephone calls, determine purpose of caller, forward calls to appropriate team member or department, or takes messages as required
  • Create, maintain, and distribute telephone lists and spreadsheets as required
  • Answer questions about the organization and provide callers with branch address, directions, and other general information
  • Perform clerical duties as needed, such as scanning, filing, copying, creating and maintaining digital documents as assigned
  • Receive, sort, and route mail and packages. Notify recipient and follow up as needed
  • Assist with the preparation of outgoing mail/packages and use postage machine
  • Maintain accurate employee parking pass records and provide updates as needed
  • Manage beverage inventory for office refrigerators, including restocking, product rotation, and inventory coordination with the accounting team
  • Maintain and track visitor badge inventory and usage, ensuring accurate records, timely badge recovery, and compliance with facility security protocols
  • Coordinate seasonal and holiday decor within the lobby and common areas to maintain a welcoming and professional environment
  • Follow all company safety policies, procedures, and work instructions, including completing required safety training and always applying safe work practices
  • Immediately report any workplace accidents, near misses, hazards, or unsafe conditions to a manager or through an appropriate reporting channel
  • Participate in safety discussions and communicate concerns or feedback openly to help maintain a safe work environment
  • Use tools, equipment, and protective gear properly to prevent injuries and incidents
  • Perform other duties as assigned
